The role involves attending weekly Multidisciplinary Team (MDT) meetings and providing comprehensive administrative support. Responsibilities also include preparing patient proformas, organising meeting materials, and logging action plans. This includes preparing and circulating patient lists maintaining accurate records of meeting outcomes, ensuring data validation, facilitating MDT service improvements, and liaising with other Trusts for necessary patient information.

Responsible for monitoring waiting lists and capacity within a service, proactively acting upon issues and working with more senior managers and the clinical team to resolve them, in order to ensure access and quality targets are met for the service.

Main duties of the job

  • Communicate complex or sensitive information clearly and appropriately with the multidisciplinary team, patients, their families, visitors, carers, and other clinicians such as GPs. Provide patients with appointment details and non-clinical advice related to their care.
  • Resolve complex queries by using analysis, experience, and judgment, escalating to clinical staff when necessary. Support administrative staff with escalated queries, taking ownership and ensuring satisfactory resolution.
  • Utilise hospital information systems, including Epic, to produce accurate correspondence for patients, GPs, and other care providers, ensuring timely distribution. Receive and register referrals in line with the Trust’s Elective Access Policy, supporting the administrative team in this process.
  • Manage appointment and diagnostic bookings or rescheduling according to Trust policy. Take responsibility for resolving complex scheduling issues escalated by the admin team.
  • Identify potential pathway delays or breaches and proactively take steps to prevent them, such as chasing diagnostic tests and results. Prepare information for multidisciplinary team (MDT) meetings.
  • Ensure clinics and admissions are well-prepared by collating investigation reports (e.g., blood tests, x-rays) and providing clinical teams with necessary information before patient appointments.

Detailed job description and main responsibilities

The Senior MDT Coordinator plays a pivotal role in coordinating multidisciplinary team (MDT) meetings and managing patient pathways to ensure efficient and timely delivery of care. This senior position involves leadership responsibilities, service development, and active contribution to projects and service improvement initiatives. The role supports the Service Manager in operational management and strategic planning to enhance patient outcomes and pathway efficiency.

Main Responsibilities :

  • Coordinate and manage multidisciplinary team (MDT) meetings and patient pathways to ensure timely and efficient care
  • Maintain accurate pathway tracking and communication with clinical teams and stakeholders
  • Support the development and implementation of standard operating procedures (SOPs)
  • Lead and contribute to service improvement projects and pathway development initiatives
  • Actively support the Service Manager with operational duties, data reporting, and service planning
  • Supervise and support patient pathway coordinators to maintain high-quality service delivery

    Knowledge & Experience

  • Excellent word-processing and spreadsheet skills, including Microsoft Word and Excel

  • Qualifications

  • A Level or NVQ Level 4 in Business Administration or equivalent
  • Educated to a degree level with experience in Administration
