Job description

The Vacancy

We currently have an exciting opportunity to join our Third Party Administration (TPA) department as a Project Administrator, within our Data Journey team in our Birmingham, Edinburgh or Glasgow Office.

What will your role look like?

You’ll provide hands-on administrative and data support across a range of pensions projects and services.

Your work will include coordinating information from members and third-party suppliers, supporting data analysis and reporting and assisting with standard member communications.

The role provides opportunities to build pensions, data and project administration experience and to support similar work across the wider business.

Though this is a varied role, your key tasks will include:

  • Providing accurate and timely administrative support across a range of pension projects and services
  • Reviewing member records and backfiles to identify information needed for project work
  • Collecting, recording and processing information from members, colleagues and third-party suppliers
  • Maintaining accurate project records, trackers and member information
  • Preparing and securely uploading information to member records
  • Identifying missing or unclear information and escalating queries where appropriate
  • Working collaboratively with colleagues across the business to support the effective delivery of projects
  • Coordinating services with approved third-party suppliers, including tracing and mailing services
  • Preparing information for suppliers and monitoring progress and outstanding actions
  • Processing and recording information returned by third-party suppliers, raising any discrepancies or non-standard requirements
  • Supporting the preparation of standard data analysis, extracts and reports
  • Carrying out standard data comparisons and helping to identify gaps or areas requiring further investigation
  • Supporting the preparation of reports and costings for review by clients or trustees
  • Supporting member communication exercises, including preparing mailing data and letters
  • Coordinating member communications with internal colleagues and approved mailing suppliers, and monitoring responses
  • Completing work accurately and in line with agreed standards, processes and timescales
  • Handling confidential and personal information in line with information security and data protection requirements
  • Maintaining clear and accurate records of work completed
  • Seeking guidance where information is unclear or falls outside agreed processes
  • Taking responsibility for developing your knowledge of pensions, data and project administration
  • Supporting other administrative and project work across the team as required

To enjoy and succeed in the role, you will have:

  • Experience of working in an administrative, data processing or similar support environment would be beneficial.
  • Confidence using Microsoft Excel to organise, review and process data accurately, including using filters, sorting, lookups and pivot tables.
  • The ability to follow established Excel processes to compare data, identify gaps and prepare information for reporting.
  • Good attention to detail, with the ability to identify missing information, errors or unusual results and know when to ask for support.
  • Good analytical skills and confidence working with data and information.
  • Strong planning and organisational skills, with the ability to work accurately to agreed processes and timescales.
  • Clear written and verbal communication skills and the ability to work collaboratively with colleagues and suppliers.
  • Familiarity with other Microsoft applications, including Word and Outlook.
  • A flexible approach and willingness to learn, take guidance and build your knowledge across different types of pensions project work
  • Experience of DB pensions and previous project experience is helpful but not essential.

We would also encourage applications from candidates who perhaps do not possess all the attributes and experience listed above but are competent with the majority and would be able to quickly develop the additional skills and experience required in post with our full support. We would also love to hear about other knowledge and experience you may have that is not listed but could be of interest.

In addition to a competitive salary and access to our profit share scheme, we offer:

  • A flexible selection of employee benefits, so you can choose a package that best matches your lifestyle and needs.
  • A collaborative and encouraging work environment where your thinking and ideas are encouraged.
  • On site mental health and wellbeing assistance.
  • A commitment to helping you develop both personally and professionally, with mentoring opportunities and access to our award-winning learning portal, Aspire.
  • Regular social activities, in addition to three days paid volunteering leave each year and a day’s leave to celebrate your birthday.
  • Hybrid working so you can enjoy the positive wellbeing of working from home as well as the benefits of meeting colleagues in our sociable, modern office environments – with the expectation of two ‘in-office’ days per week.
  • A flexible working window, allowing colleagues the freedom to work flexibly between the hours of 7am and 7pm.

Please note – we recruit on a rolling basis for immediately available opportunities and progress candidates as soon as their applications are received. Therefore, we’d encourage you to apply to this role as early as possible to avoid any disappointment.

We are committed to being open and transparent in our recruitment and reward processes. Please note that this vacancy does not currently meet the minimum salary threshold requirements for Skilled Worker sponsorship within the UK.

To avoid any disappointment, if you require sponsorship we would encourage you to check whether you may be eligible for a discounted salary threshold, or to explore alternative routes to secure your right to work in the UK before submitting your application. If you meet the criteria outlined in the job description we’ll be happy to discuss your individual circumstances further with you.
