Professional development support – opportunities for personal and professional development On-site free parking in city-centre York A meaningful role in a values-led educational charity shaping the future of acupuncture education About the role We're looking for a friendly, reliable, empathetic and organised person to join our Reception team. Reception is the first point of contact for everyone coming into the College, so you'll play an important role in creating a welcoming and professional experience for our students, patients, staff and visitors. The role combines customer service, reception and administration, with responsibility for supporting the smooth running of our teaching and clinical spaces. You'll need to be confident dealing with people from all walks of life, comfortable managing competing priorities and happy to get involved in the practical things that help a small organisation run well. Excellent IT skills are important, as is the ability to learn new systems quickly. Experience with a clinic booking system such as Cliniko would be useful, but isn't essential. This is a job-share role, with the two post holders collectively providing reception cover across Monday to Friday. The post holders will work closely together, ensuring effective handover between their working days and providing cover for each other during periods of annual leave. Role details Location: York Hours: 0.6 FTE (21 hours per week over three days) Working pattern: Wednesday-Friday Shifts: 8.45am–4:15pm, including a 30-minute unpaid break Salary: £14,275.87 per year Pay scale: Spinal Point 8: £12.71 per hour, plus paid overtime as agreed Reporting to: Clinical Education Lead Start date: 18th November 2026 (if notice period allows) Flexibility to cover colleagues' holidays and sickness, including occasional additional hours or changes to working days, is an important part of the role. What you'll be doing As part of our Reception and Clinic team, you'll help ensure that the College and clinics are welcoming, organised and running smoothly. You will: Staff reception and provide a warm, professional welcome to patients, students, staff, practitioners and visitors. Manage communications for the College and clinics, including telephone calls, post and general enquiries. Admit patients, receive deliveries and assist with visitors into the building. Manage patient and client bookings using our Cliniko booking system. Take patient and client payments, manage petty cash and liaise with the Finance team. Welcome students and faculty to the College on teaching days and provide administrative support to tutors when required. Support Clinic Supervisors with the smooth and professional operation of the clinics. Help maintain an organised, welcoming and professional environment. Assist with the management of physical resources and practical matters around the College. Help with general administrative tasks when required. Work collaboratively with colleagues across the College to help provide an excellent experience for our students and patients. Undertake other duties appropriate to the role as required. What we're looking for Essential: A friendly, approachable and helpful manner. Excellent customer service skills and a professional telephone manner. The ability to communicate confidently and effectively with a wide range of people. Excellent organisational skills and good attention to detail. The ability to manage competing priorities in a busy environment. Good IT skills, including confidence using Microsoft Word, Excel and Outlook. The ability to learn new IT systems quickly. Reliability, flexibility and a willingness to help colleagues when needed. The ability to work both independently and as part of a small team. A practical, can-do approach to supporting the day-to-day running of the College. A strong work ethic and a commitment to providing a high-quality service. Desirable: Experience in a reception, administration, customer service or similar role. Experience working in a clinic, healthcare or education environment. Experience using a booking or appointment management system, particularly Cliniko. Previous experience in a similar role would be an advantage, but we're also interested in hearing from people who can demonstrate the right approach, skills and attitude.
