Administrative Officer
HMCTS, 1 Oxford Row, Leeds

Working Hours

  • 37 hours per week
  • Monday to Friday
  • 9:00am - 5:00pm

Pay Rate

  • £12.86 per hour (Day One Rate)
  • Increasing to £13.25 per hour after 12 weeks

Assignment Details

  • Start Date: ASAP
  • Duration: 8 Months
  • Extension: Subject to review and business need
  • Security Clearance: Basic DBS required- provided VIA Brookstreet
Role Overview


HM Courts & Tribunals Service (HMCTS) is seeking three Administrative Officers to support the effective administration and progression of cases through the court and tribunal system. The successful candidates will work within a supportive team environment undertaking a variety of administrative and operational duties to ensure the efficient delivery of justice services.
The role requires strong organisational skills, attention to detail, excellent customer service, and the ability to work accurately within established procedures and Service Operating Procedures (SOPs). There will also be opportunities to contribute to continuous improvement initiatives and problem-solving activities.
Whilst based in Leeds, successful candidates may occasionally be required to work at other local HMCTS sites to support operational requirements.

Key Responsibilities

Administration

  • Prepare papers and files for courts, tribunals, hearings, and meetings.
  • Produce court and tribunal documentation.
  • Maintain accurate filing, photocopying, and record-management systems.
  • Update information on HMCTS systems and databases.
  • Open, sort, and distribute incoming post and prepare outgoing mail.
  • Book and organise meeting rooms and training events.
  • Prepare agendas, joining instructions, handouts, and supporting materials.

Drafting and Correspondence

  • Produce standard letters, reports, meeting minutes, submissions, and correspondence.
  • Draft documents in line with established guidelines and procedures.

Court and Tribunal Operations

  • Support civil and family courts, tribunals, and hearings through effective clerking duties.
  • Ensure court papers and materials are accurate and available when required.
  • Assist court users and provide administrative support for listings and rotas.
  • Contact relevant parties regarding hearings and court proceedings.
  • Process court documentation, fines, fees, and warrants.
  • Handle face-to-face, telephone, and written enquiries professionally and efficiently.
  • Support Team Information Board (TIB) meetings and contribute to local improvement initiatives.

Casework Processing

  • Process court orders, legal aid documentation, claims, fines, fees, and other court-related paperwork.
  • Accurately update court systems and records.
  • Meet workload, productivity, and accuracy targets.

Quality Assurance and Compliance

  • Check and verify documents, records, claims, and accounts against procedures and regulations.
  • Ensure all administrative processes meet required quality standards.
  • Conduct validation and quality checks on work completed by colleagues where required.

Information Gathering and Reporting

  • Collect and collate information for reports, statistical returns, accounts, and operational purposes.
  • Prepare case bundles and chase outstanding information when required.
  • Assist in preparing data and updates for daily operational meetings.

Financial and Statistical Duties

  • Produce basic statistical reports.
  • Process and reconcile financial information where required.
  • Prepare invoices and reports.
  • Support jury management activities, including calculating juror requirements and attendance levels.

Stakeholder and Customer Service

  • Build and maintain effective working relationships with:
    • Judiciary and Magistracy
    • Court users
    • Legal representatives
    • Internal HMCTS colleagues
    • External agencies and stakeholders
  • Deliver a professional, timely, and customer-focused service.
  • Provide guidance on court procedures and forms where appropriate.

Additional Duties

  • Undertake other duties appropriate to the grade and responsibilities of the role.
  • Support adhoc operational activities such as:
    • Jury Bailiff Officer duties
    • Learning & Development coordination
    • Health & Safety responsibilities
Skills and Experience

Essential

  • Administrative experience in a busy office environment; or
  • NVQ Level 2 in Business Administration; or
  • 5 GCSEs (or equivalent) at Grades A*-C / 9-4.
  • Strong organisational and time-management skills.
  • Good communication skills, both written and verbal.
  • Ability to work accurately and pay close attention to detail.
  • Competent IT skills, including data entry and the use of standard office systems.
  • Ability to follow procedures and work within established guidelines.
  • Excellent customer service skills.

Desirable

  • Previous experience within a public sector, legal, court, or tribunal environment.
  • Experience handling confidential or sensitive information.
  • Experience processing casework or working to performance targets.
Training
  • Full on-the-job training provided.
  • No travel required for training.
  • No holiday restrictions during the training period.
Additional Information
  • Criminal convictions will be considered on a case-by-case basis.
  • No known workplace restrictions.
