Job description
To work with the team to ensure timely and accurate delivery of payroll and Auto-Enrolment services. This will include: * Processing, ownership and completion of regular client payrolls (whether weekly, fortnightly, 4-weekly or monthly) across a range of sectors; including setting up starters and leavers, other payroll data including processing adjustments to salaries and employee data. * Managing the process from receipt of data to the printing and the despatch of reports. * Production and despatch of payslips and P45’s etc. * Ensuring the payroll data is up to date and accurate. * Reconciliation of HMRC account and liaising with HMRC on behalf of the clients. * Resolution of day-to-day queries and liaising with the clients to request information for payroll processing. * Ensuring the payroll is reviewed by a supervisor/manager where applicable. * Seek guidance from the rest of the team as required. Full Auto-Enrolment tasks for clients, including: * Letter and communications. * Input and reporting to/from the payroll system (mainly KeyPay). * Production of files and upload to the relevant pension provider/middleware portal. * Consultation and reconciliation of payments with checks clients. * Auto Enrolment set‑up, including use of The Pensions Regulator website. General Admin and Filing: These tasks are completed on an ‘as and when’ basis for each payroll and include: * Keeping both the Client Data Sheet and the Excel database of clients up-to-date. * Scanning and filing of documentation relating to the payroll, Auto-Enrolment or individuals. * Regular and accurate completion and submission of timesheets within set deadlines. * Payroll procedures relating to specific tasks/new processes introduced to be kept up to date. * Support Rouse payroll. * Liaise with clients to clarify facts/information. Key responsibilities and skills The ideal person for this role will be well organised and able to work to agreed timescales, whilst having the ability to actively engage with clients. You will: * Communicates effectively at all levels with colleagues and clients. * Technically up to date, including statutory payroll requirement (SSP/ SMP/ SPP/ PAYE & NIC). * Payroll experience within bureau or accountancy firm. * Uses judgement to suggest alternatives and improvements in processes and procedures. * Knowledge of auto enrolment regulations and rules of benefits in kind. * High level of accuracy and attention to details. * Able to organise and manage time efficiently and effectively. * Ability to work to deadlines and under pressure. * Uses initiative. * Keeps line manager informed of progress and potential problems. * Highlights potential business opportunities to line manager. * Takes time to understand what the client requires. * Confident when speaking/working with clients. * Aware of cost implications of actions. * Knowledge of working on a multi-site/portfolio of payrolls basis. The candidate We are looking for a motivated and detail-oriented Payroll Assistant with a minimum of 2 years’ payroll bureau experience. You will have a solid understanding of payroll processes, excellent organisational skills, and the ability to manage multiple client payrolls accurately and efficiently.
