People & Talent Acquisition Assistant

We are looking for an experienced and highly organised People & Talent Acquisition Assistant to join a growing contemporary accessories brand.

This is a broad and varied role supporting employees across Head Office and Retail. You will take ownership of the day-to-day people administration and employee lifecycle, ensuring that information is accurate, processes run smoothly and employees receive a positive and professional experience.

You will also support recruitment, employee relations and wider People projects, making this an excellent opportunity for someone looking to build on their existing HR experience and take on greater responsibility within a fast-paced creative business.

Key responsibilities

People operations and employee lifecycle

• Coordinate the complete employee lifecycle, from offer and onboarding through to internal changes and offboarding.
• Prepare contracts, offer letters, new-starter documentation and contractual amendment letters.
• Process changes relating to roles, salaries, bonuses, working arrangements and promotions.
• Ensure all employee information is recorded accurately across the company’s People systems.
• Liaise with payroll to communicate new starters, leavers and employee changes accurately and within agreed deadlines.
• Coordinate onboarding plans, induction packs and cross-departmental meetings for new employees.
• Work with IT and relevant departments to ensure new starters are properly set up and leavers are offboarded correctly.
• Process leavers and provide payroll with accurate final-payment information.
• Manage employment, tenancy and reference requests for current, former and prospective employees.
• Maintain accurate employee files, organisational charts and People records.
• Conduct regular data audits and ensure all documentation complies with GDPR, right-to-work and internal policy requirements.
• Identify opportunities to improve, document and streamline People processes.
• Provide initial guidance to employees and managers on routine People policies and procedures, escalating more complex matters when appropriate.
• Support the Senior People & Talent Manager with employee relations administration, including arranging meetings, taking notes and preparing relevant documentation.
• Produce regular People reports and assist with monitoring absence, turnover, headcount and other key information.
• Support the delivery of People initiatives and ad hoc projects across the business.
• Provide occasional cover and support for office management activities when required.

Recruitment and talent

• Coordinate recruitment activity across Head Office and Retail vacancies.
• Schedule interviews and maintain clear communication with candidates and hiring managers.
• Manage job advertisements across the company careers page, LinkedIn and other relevant platforms.
• Monitor the recruitment inbox and ensure candidates receive a professional and timely experience.
• Support assessment days, interviews and other recruitment events.
• Prepare interview materials and assist hiring managers throughout the recruitment process.
• Support the administration of offers, references and pre-employment checks.
• Maintain accurate recruitment records and provide updates on vacancy progress.

Experience and skills

• Approximately two to four years’ experience within a People, HR or People Operations role.
• Previous experience supporting employees across a retail, fashion, accessories, lifestyle or similarly fast-paced consumer business would be highly desirable.
• Good working knowledge of HR administration and the employee lifecycle.
• Experience preparing contracts, offer letters and employee documentation.
• Some experience supporting recruitment and employee relations processes.
• Experience using People systems such as ADP, PeopleHR or a similar HR platform.
• Strong IT skills, including Microsoft Excel, Word, PowerPoint and Outlook.
• Excellent attention to detail and a commitment to maintaining accurate employee data.
• Confident written and verbal communication skills.
• Comfortable handling sensitive and highly confidential information.
• Able to manage competing priorities and remain calm in a busy environment.
• Proactive, organised and able to work with a good level of independence.
• Approachable and emotionally intelligent, with strong relationship-building skills.
• Professional, discreet and able to use sound judgement when handling complex situations.
