The role of the Philanthropy Officer is to manage the gift administration and stewardship of supporters, lead on the stewardship of regular and individual givers, and support the Philanthropy Manager to grow the Individual Giving income stream for Chance to Shine.

This includes responsibility for the coordination of individual giving campaigns, management of the administration of legacy gifts, and wider regular giving campaigns and appeals.

London-based contract. Currently, work from the central London office is on average about 2 days per week. The role holder will need to be flexible as and when they are required to attend meetings, events, mostly in London but elsewhere around the country

Key Responsibilities

Supporter Care
• Ensure all donations are efficiently and accurately recorded and acknowledged in a timely fashion.
• Process all individual giving bank donations including website/third-party fundraising/gift-collection platforms and ensure they are efficiently and accurately entered onto our Raisers Edge database and processed (cash, cheques, credit cards, Direct Debits and vouchers) daily.
• Maintain accurate electronic supporter records including donations, personal details, Gift Aid declarations, communication preferences and any other data relating to their support.
• Write and update template thank you letters.
• Respond to donor enquiries and provide personalised information as and when requested.
• Work with the Philanthropy Manager and the Communications and Marketing team to develop the supporter care strategy, proactively identifying and implementing new ways of improving supporter care.

Supporter Cultivation
• Coordinate appeals and campaigns to help upgrade supporters and bring in new donors.
• Regularly identify lapsed committed supporters with a view to reengaging them via fundraising cultivation.
• Produce copy for fundraising materials alongside the Communications and Marketing team and organise the distribution of these materials to supporters in a coordinated manner.
• Support the Philanthropy Manager on the organisation and execution of project visits for supporters including attending visits where needed.
• Support the Philanthropy Manager and Director of Fundraising with funding proposals and reports as needed.
• Support the Philanthropy Manager and Director of Fundraising when preparing for meetings and calls with current and prospective new supporters.
• Support on the research and identification of new prospects.

Legacy gifts
• Lead on communications with legacy and in-memory supporters to ensure that this is sensitively managed and reflects the values of Chance to Shine.
• Monitor and maintain legacy gifts on the database and support with the administration of legacies for the organisation.

Compliance and Data Protection
• Support on data protection compliance for the fundraising team working with the Director of Finance and Resources and Fundraising team as appropriate.
• Ensure all fundraising processes comply with data protection regulations, (including Data Protection Act 2018 and GDPR) the Code of Fundraising Practice and any other regulatory bodies.
• Lead on updating supporters’ consent and preferences to comply with fundraising regulations and best practice.


General Support
• Manage fundraising income administration, including donation processing and income reconciliation with Finance Team.
• Lead on organisational Gift Aid, including Gift Aid promotion and submitting claims.
• Undertake other responsibilities not outlined above which are commensurate with a role of this nature and which have been discussed and agreed with the line manager.
• Work occasional evenings or weekends to support fundraising events (for which time off in lieu will be given)



Skills, Knowledge and Expertise

Essential:
• Strong organisational skills with the ability to manage
competing priorities and meet deadlines.
• Excellent written and verbal communication skills.
• Experience delivering high-quality supporter or customer service.
• Good knowledge and experience using CRM systems, ideally Raiser's Edge.
• Strong administrative skills and attention to detail.
• Good IT skills, including Microsoft Excel and Word.
Desirable:
• Experience of charity fundraising.
