Technical Design and Systems Coordinator

Job Description

The Role:

The Technical Design & Systems Coordinator supports the Store Development Department through the administration of key business systems, project information, technical documentation and digital workflows. The role maintains and supports Autodesk Construction Cloud (ACC), Airtable, SharePoint and associated project management systems, ensuring information remains accurate, accessible and aligned to departmental standards.

Working closely with the PMO / Technical Manager and project teams, the role provides day-to-day support across project systems, reporting, internal communications, data management and technical documentation, helping drive consistency, efficiency and governance across the department.

Key Responsibilities:

Systems, Data & Reporting

• Maintain and administer Airtable databases, ensuring project information is accurate, structured and up to date
• Support project data entry, validation, reporting and governance activities across the Store Development portfolio
• Maintain project records, status information and supporting documentation
• Produce and support regular project, portfolio and management reporting using Excel, Airtable and other business platforms
• Assist with Power BI dashboards and reporting where appropriate, including identifying data inconsistencies or reporting issues

Autodesk Construction Cloud (ACC) / Autodesk Forma

• Support the administration of ACC, including creating projects, adding users, managing permissions and assigning users to the correct project setup
• Maintain project folder structures, workflows, drawing submission standards and document control procedures
• Provide first-line support to internal users and external consultants, escalating technical issues where required
• Support ACC training and onboarding, helping teams and consultants follow agreed standards and ways of working

Technical Information & Drawing Support

• Review and interpret project drawings to support data verification, area schedule checks and spatial data validation
• Support the maintenance and communication of drawing standards, templates, Standard Details and technical guidance documentation
• Use AutoCAD/Revit knowledge where required to support drawing review, standards checking and project information accuracy
• Work with project teams and consultants to ensure information is maintained consistently across systems and projects

Communications, SharePoint & Administration

• Maintain departmental SharePoint sites, document libraries and supporting guidance documentation
• Support internal communications, team updates, staff bulletins and presentation material
• Create clear, engaging PowerPoint presentations for meetings, project reviews and departmental communications
• Support project mobilisation, meeting preparation, action tracking and document management where required
• Provide general coordination support across Store Development, helping maintain consistency across the department

Qualifications

• Experience using Airtable or administering Autodesk Construction Cloud (ACC)
• Excellent organisational and administrative skills, with strong attention to detail and data accuracy
• Strong Microsoft Office capability, particularly Excel and PowerPoint, including using SharePoint and document management systems
• Experience working with databases, project systems or information management platforms
• Strong written and verbal communication skills, with confidence supporting a range of stakeholders
• Ability to manage multiple workloads, prioritise effectively and work independently or collaboratively
• Ability to interpret and understand technical drawings and project information
• Experience supporting project teams, PMO functions, technical departments or similar project environments
• Working knowledge of AutoCAD and/or Revit
• Experience working within retail, construction, architecture or fit-out environments
• Experience producing Power BI reports or dashboards
• Exposure to BIM workflows, Common Data Environment principles and project governance processes
• Highly organised, proactive and methodical, with excellent attention to detail
• Analytical problem solver who is comfortable learning new systems and technologies
• Strong communicator and collaborative team player, confident with technical and non-technical stakeholders
• Professional, discreet and able to maintain confidentiality at all times
• Takes ownership of tasks, follows through to completion and looks for ways to improve processes
