Administrative Officer - Swindon Combined Court\n

Location: Swindon Combined Court
Pay Rate: £13.25 per hour
Hours: 37 hours per week, Monday to Friday, 9:00am-5:00pm
Working Pattern: Full-time, office-based
Assignment Length: 6 months, with potential for extension
Start Date: 3 August 2026
Clearance: Basic DBS required

About the Role\n

We are currently recruiting for an Administrative Officer to join the team at Swindon Combined Court, supporting the smooth and effective running of court and tribunal services.

\n

This is an excellent opportunity for an organised and reliable individual with strong administrative and customer service skills. You will work as part of a flexible team, carrying out a variety of administrative duties and supporting the progression of cases through the court system.

\n

Training will be provided, and there will be opportunities to develop your skills and gain valuable experience working within HMCTS.

Key Responsibilities\n

Your duties may include:

\n
    \n
  • Preparing papers and files for courts, tribunals, hearings and meetings.
  • \n
  • Producing court and tribunal documentation.
  • \n
  • General filing, photocopying and document management.
  • \n
  • Creating and updating records on internal computer systems.
  • \n
  • Accurate data entry and maintaining case records.
  • \n
  • Opening and dispatching post.
  • \n
  • Preparing and organising meeting rooms and supporting training activities.
  • \n
  • Preparing agendas, joining instructions and meeting materials.
  • \n
  • Drafting standard letters, correspondence, minutes, notes and reports.
  • \n
  • Supporting the administration of civil and family courts, tribunals and hearings.
  • \n
  • Assisting court users and supporting listing and rota management.
  • \n
  • Checking and maintaining case files and documentation.
  • \n
  • Contacting relevant parties and scheduling appointments or hearings.
  • \n
  • Handling face-to-face, written and telephone enquiries.
  • \n
  • Processing casework, including court orders, claims, fines, fees and legal aid documentation.
  • \n
  • Ensuring court results and case information are recorded accurately.
  • \n
  • Checking and verifying documents and records against relevant procedures and guidelines.
  • \n
  • Collecting and preparing information for reports, returns, statistics and other documentation.
  • \n
  • Carrying out basic calculations and processing straightforward financial information.
  • \n
  • Communicating professionally with members of the public, the Judiciary, legal professionals, court users and other internal and external stakeholders.
  • \n
  • Providing a helpful, polite and professional "right first time" service.
  • \n
  • Working collaboratively with colleagues to identify and resolve issues and support continuous improvement.
  • \n
  • Undertaking other duties appropriate to the grade as requested by management.
  • \n

The role holder may occasionally be required to work at other local HMCTS offices on an ad hoc basis, where operationally required.

Previous administrative experience is desirable, although relevant experience and transferable skills will also be considered.

Skills & Qualifications\n

Applicants should have:

    \n
  • 5 GCSEs or equivalent at grades A*-C, or
  • \n
  • NVQ Level 2 in Business Administration, or
  • \n
  • Relevant administrative experience.
  • \n
  • Appropriate computer skills to undertake the required level of work.
  • \n
