Mission

The Workplace Services Specialist II will support Databricks’ London office, our EMEA headquarters, while also providing regional support across Paris, Stockholm, Israel, Zurich, and Saudi Arabia.

Reporting to the Workplace Manager, you will help translate the Workplace team’s regional strategy into high-quality, scalable workplace services. Working closely with our JLL Integrated Facilities Management team, you will support the delivery of day-to-day workplace services, help identify opportunities for improvement, and contribute to ensuring the workplace experience consistently meets Databricks’ standards.

You will independently lead operational workstreams and improvement initiatives, manage key stakeholder relationships, and provide the expertise, governance, and direction needed to ensure our workplace services remain reliable, efficient, and aligned with broader business priorities.

This is an exciting opportunity to join and help grow the EMEA Workplace team. The region currently supports more than 2,500 employees across multiple locations, with significant growth planned over the next 12 months.

The Impact You Will Have

  • Deliver an outstanding and consistent workplace experience for employees, visitors, and stakeholders.
  • Work closely with JLL and other service partners to support effective day-to-day delivery across facilities, food and beverage, front-of-house, post room, office supplies, and maintenance services.
  • Monitor service delivery, identify issues or improvement opportunities, and support timely resolution through the appropriate internal and external partners.
  • Develop and maintain scalable operational processes, standards, and playbooks, including planned and reactive maintenance programs.
  • Independently deliver moderately complex workplace projects and operational workstreams involving multiple stakeholders, vendors, or locations.
  • Anticipate potential blockers, assess risks, and recommend practical solutions to maintain service continuity and progress.
  • Build trusted relationships across People, IT, Finance, Security, Procurement, Property Management, Executive Assistants, and business leadership.
  • Support vendor performance, operational budgets, and resource planning, identifying opportunities to improve service quality, efficiency, risk management, and value.
  • Use operational data, employee feedback, and sound judgment to identify trends, improve processes, and support informed decision-making.
  • Independently apply AI tools to streamline workplace processes, improve reporting, and enhance efficiency across moderately complex tasks. Experiment with different approaches and share practical learnings with teammates.
  • Support special projects and global initiatives as part of the wider Real Estate and Workplace team.
  • Demonstrate Databricks’ Culture Principles through collaboration, accountability, constructive challenge, and a positive contribution to the team.

What We Look For

  • A minimum of five years’ experience in facilities management, workplace services, or workplace operations, ideally within a corporate or multi-site environment.
  • Experience working with an outsourced Integrated Facilities Management provider or other third-party service partners.
  • Experience working across EMEA, with an understanding of the operational, cultural, and regulatory differences involved in supporting multiple countries and office locations.
  • Strong knowledge in one or more Workplace Services areas, with broader experience across facilities, food and beverage, front-of-house, events, building operations or employee experience.
  • Proven ability to independently deliver moderately complex operational workstreams or mid-sized projects from planning through to completion.
  • Experience coordinating multiple vendors, service lines, or workplace programs and supporting performance reviews, issue resolution, and service improvement.
  • Strong operational judgment, with the ability to assess issues, anticipate risks, recommend solutions, and recognize when escalation is required.
  • Excellent written and verbal communication skills, including the ability to produce clear office-wide communications, operational documentation, and vendor correspondence.
  • Strong organisational and prioritisation skills, with experience managing multiple concurrent workstreams and competing priorities in a fast-paced environment.
  • Working knowledge of building maintenance, planned and reactive services, health and safety, compliance, and issue triage.
  • Demonstrated ability to build effective cross-functional relationships and align different stakeholder needs.
  • Experience supporting operational budgets, forecasting requirements, and making recommendations that balance cost, quality, risk, and employee experience.
  • A customer-focused, proactive, and accountable approach, with the ability to work independently and deliver high-quality outcomes under pressure.
  • Confidence using workplace technology, reporting tools, and AI to improve processes and efficiency.
  • Oriented teams, with the ability to coach, motivate, and hold team members to a high standard
