Job description

Working as part of our central support function, you’ll provide administrative support across our legal teams, helping to keep day-to-day operations running smoothly.

This is a great opportunity to gain broad experience in a busy and collaborative law firm. You’ll support a range of administrative activities and assist with document production during peak periods, giving you valuable insight into how different teams work across the firm.

By providing flexible support where it’s needed most, you’ll help our fee earners, PAs and Secretaries focus on delivering an excellent service to clients. Your contribution will make a real difference to the efficiency and effectiveness of our teams every day.

As the Administrative Assistant, you will:

  • Being the first point of contact for admin support across the business. Supporting Fee Earners, PAs and Secretaries with administrative support during peak workloads, covering absences and providing ad‑hoc support as required.
  • Assisting with financial processes including transferring and receipting funds.
  • Running conflict checks in accordance with firm procedures.
  • Generating bills and billing guides for Fee Earners.
  • Managing file admin to include scanning, printing, electronic filing, and archiving.
  • Assisting with the opening and closing of matters.
  • Working closely with PAs, Secretaries, and Fee Earners to understand priorities and deadlines, ensuring admin tasks are completed accurately and on time.
  • Contributing to a collaborative and flexible team environment, supporting colleagues and adapting to changing business needs.
  • Producing, formatting, and amending documents using Microsoft Word, Excel, and PDF software.
  • Carrying out document comparisons and applying and managing tracked changes.
  • Converting files between formats (e.g. Word to PDF) and creating zipped folders for large file sharing.
  • Supporting with a small amount of audio typing and transcription.

We are looking for:

  • Business Administration qualification (or equivalent) and/or relevant administrative experience
  • Experience working in legal or professional services, with the ability to manage multiple priorities while maintaining high standards of accuracy and professionalism.
  • Exceptional attention to detail, with the ability to undertake thorough quality assurance checks and consistently produce accurate, polished, and high-quality documentation to professional standards.
  • Excellent written and verbal communication skills, with the ability to communicate clearly, professionally, and confidently with a wide range of stakeholders at all levels, adapting approach and style to meet differing needs and priorities.
  • Ability to work collaboratively as part of a team while using initiative and taking ownership of tasks. Confident in raising issues and challenges to support effective problem-solving, while proactively identifying opportunities for continuous improvement and suggesting enhancements to processes, systems, and ways of working.
  • Strong organisational and time management skills, with the ability to prioritise a varied workload, manage multiple competing demands, and consistently deliver high-quality work in a fast-paced environment.
  • Good working knowledge of Microsoft Office (Word, Outlook, Excel, PowerPoint).
  • High level of discretion and respect for confidentiality.

This is an office-based role. Due to the nature of the responsibilities and the level of collaboration required, regular on-site attendance is essential.

What we offer:

  • Salary £24,480 per annum
  • 35 hours per week between Monday and Friday
  • 12-month fixed term contract
  • Earn up to 10% of your salary with our annual bonus scheme.
  • Minimum of 25 days annual leave plus Bank Holidays per year increasing to 31 days with length of service, with the opportunity to buy/sell up to 5 days holiday per year.
  • Auto enrolled into the workplace pension scheme, and we’ll contribute a minimum of 6% of your salary.
  • 4x your annual salary in the event of a death in service.
