Location: Sheffield – Parking on site The Role They are looking for an ambitious, highly organised, and commercially minded individual who thrives in a startup environment and enjoys building processes, solving problems, and helping a business scale. This is more than a traditional Executive Assistant role. You will be a trusted partner to the Founder, helping manage day‑to‑day operations, finance administration, customer and supplier relationships, project coordination, and business growth initiatives. Key Responsibilities * Manage the Founders meetings, travel bookings, and priorities. * Prepare presentations, proposals, reports, and meeting documentation. * Follow up on actions arising from meetings and strategic discussions. * Screen communications and assist with stakeholder management. * Support fundraising, partnership, and business development activities. * Act as a trusted point of contact across the business. * Support the wider groups priorities, financial and administration tasks. * Help establish and maintain scalable operational processes. * Coordinate activities across sales, procurement, finance, and project delivery. * Maintain company documentation, systems, and records. * Assist with compliance, insurance, health and safety, and company governance requirements. * Support project administration. * Coordinate communication between customers, suppliers, installers, and contractors. * Assist with quotations, proposals, tenders, and project reporting. * Support procurement activities and supplier engagement. * Process invoices, purchase orders, and expenses. * Support accounts payable and receivable functions. * Monitor cash flow and payment schedules. * Assist with monthly reporting and management accounts. * Work with accountants and external service providers. * Help develop efficient financial controls as the business grows. About You * Experience in Executive Assistant, Operations Coordinator, Office Manager, Project Coordinator, or similar role. Must be able to engage senior leadership. * Strong organisational and multitasking skills. * Commercial awareness and business acumen. * Experience with finance administration, invoicing, and reporting. * Excellent Microsoft 365 skills. * Comfortable working independently and taking ownership. * Self‑starter who takes initiative with a strong presence and influencing skills. * Experience within renewable energy, construction, engineering, technology, or a startup business. * Knowledge of Xero, QuickBooks, Sage, NetSuite, or similar systems. * Project coordination or operations management experience. * Ability to support the wider teams across site, showing excellent communication skills. * Working in a busy and demanding environment. * Resilient and responsive to change, encouraging others to buy into the vision. * Shows pride, strong judgement, and risk management skills. * Strong communication skills. * Equipped to hit the ground running and deliver results at pace, while maintaining poise and a safe workplace.
