Summary
This role is a 9-month part-time contract within the Records and Data Team, providing essential business support to Social Care and Education Services. The successful candidate will be integral to Family & Children's Services, handling referral screening, data management, and administrative support. As the first point of contact for incoming referrals, you will maintain accurate records and support managers and professionals across various service areas. This position demands a high level of accuracy, professionalism, emotional resilience, and the ability to manage highly sensitive and confidential information.
Responsibilities
- Referral Screening & Processing
- Serve as the initial contact for referrals received by Children's Services.
- Screen, record, process, and prioritise referrals according to legislation, service criteria, and departmental procedures.
- Ensure accurate recording and distribution of referrals to appropriate teams.
- Escalate urgent safeguarding concerns as per procedures.
- Information Management
- Collect, record, and share information to support assessments and decision-making processes.
- Liaise with internal departments and external agencies to obtain necessary information.
- Ensure information is recorded accurately and securely, maintaining compliance with safeguarding, confidentiality, and data protection requirements.
- Records & Database Administration
- Maintain accurate electronic records and case information.
- Update databases, spreadsheets, and management information systems.
- Ensure records remain accurate, current, and compliant with organizational standards.
- Support operational activity and performance reporting.
- Data Reporting & Analysis
- Produce reports and management information as required.
- Validate data and identify inconsistencies or errors.
- Support requests for statistical information and performance data.
- Assist with Freedom of Information (FOI) requests and compliance reporting.
- Administrative Support
- Provide administrative support across the Records and Data Team.
- Respond to telephone and email inquiries professionally.
- Prepare, type, scan, file, and distribute documents.
- Organize meetings and provide administrative support to managers and professionals.
- Assist with service priorities and changing operational requirements.
- Business Support
- Provide high-quality support to managers and practitioners across Children's Services and Education.
- Support service delivery through effective administration and data management.
- Work collaboratively with colleagues to ensure excellent customer service.
Requirements
Requirements:- Essential
- 5 GCSEs (or equivalent), including English.
- Strong administrative and data management experience.
- Excellent Microsoft Office skills.
- Experience maintaining databases, electronic records, and spreadsheets.
- Ability to handle highly confidential and sensitive information.
- Strong organizational and communication skills.
- Ability to work effectively under pressure.
- Desirable
- Previous Local Authority, Education, Children's Services, or Social Care experience.
- Experience handling referrals, records management, or data administration.
- Experience supporting safeguarding or children's services teams.
