Events Officer 3 Month Contract


Location: Redditch Town Hall / Bromsgrove Town Hall (Hybrid Working)

Rate: 17.91 per hour (Umbrella)

Contract: Temporary (3 Months)

Hours: Monday to Friday 9:00am 5:00pm

Pay: Bi-weekly


Working Pattern


  • Hybrid working arrangement.
  • Based between Redditch Town Hall and Bromsgrove Town Hall.
  • Attendance at events is required.
  • Occasional evening and weekend work may be required depending on the events programme.

Essential Requirements


  • Experience coordinating or delivering events.
  • Strong project management and organisational skills.
  • Experience working with multiple stakeholders and contractors.
  • Understanding of event health and safety requirements.
  • Ability to attend and support events outside normal office hours when required.

Job Description


Summary


This is a 3-month contract role supporting the planning coordination and delivery of Council-led outdoor events across Redditch and Bromsgrove. The successful candidate will contribute to the delivery of safe well-organised inclusive and professionally managed events. Working closely with internal services contractors emergency services community organisations and external event organisers you will support all aspects of event planning and operational delivery. The role requires strong leadership project management and partnership-working skills to coordinate internal services contractors emergency services and external event organisers.


Responsibilities


Event Planning & Coordination


  • Support the planning and delivery of Council-led outdoor events.
  • Assist in the development of event plans schedules and delivery programmes.
  • Coordinate event logistics to ensure successful event delivery.
  • Monitor progress against plans and deadlines.
  • Assist in developing event management documentation and operational plans.

Stakeholder Management


  • Liaise with internal departments contractors partner organisations and community groups.
  • Build positive working relationships with key stakeholders.
  • Support communication between all parties involved in event delivery.
  • Work collaboratively with emergency services and external agencies where required.

Contractor & Supplier Coordination


  • Coordinate contractors suppliers and service providers involved in events.
  • Monitor contractor performance and compliance requirements.
  • Ensure services are delivered in accordance with agreed specifications and timescales.
  • Assist with procurement and contractor management processes where required.

Health & Safety Compliance


  • Support the implementation of event health and safety procedures.
  • Assist in preparing and reviewing risk assessments and event documentation.
  • Ensure compliance with relevant legislation policies and procedures.
  • Promote safe working practices at all times.

Event Operations


  • Provide operational support during events.
  • Assist with event set-up delivery and breakdown activities.
  • Monitor event activities and address issues as they arise.
  • Support the delivery of a positive experience for attendees and stakeholders.

Project Management & Administration


  • Support multiple events and projects simultaneously.
  • Maintain accurate records documentation and event files.
  • Monitor budgets expenditure and project timelines where required.
  • Produce reports and updates for managers and stakeholders.

Service Improvement


  • Contribute to post-event reviews and evaluations.
  • Identify opportunities to improve event delivery and customer experience.
  • Support the development of future events and community engagement initiatives.

Essential


  • Educated to A-Level standard or equivalent experience.

Desirable


  • Qualification in Event Management Project Management Marketing Business Administration or a related discipline.

Knowledge

  • Understanding of event planning and delivery processes.
  • Knowledge of health and safety requirements relating to public events.
  • Understanding of stakeholder and contractor management.
  • Knowledge of project coordination and administration practices.

Desirable


  • Knowledge of local authority event delivery.
  • Understanding of outdoor event regulations and licensing requirements.
  • Awareness of community engagement and public sector service delivery.

  • Previous local authority or public sector experience.

Knowledge of planning legislation and local authority planning procedures. Understanding of planning administration systems and record management. Essential System Experience Working knowledge and experience of Uniform Planning System. Desirable Knowledge of Tree Preservation Orders (TPOs). Understanding of planning digitisation projects and records management. Experience Essential Experience within a Local Planning Authority Planning Service. Experience validating planning applications. Experience working within Planning Administration or Development Management. Experience maintaining planning records and databases. Experience responding to customer and stakeholder enquiries. Experience using Uniform Planning System. Desirable Experience supporting planning officers with case management activities. Experience working on planning digitisation projects. Experience processing consultations and planning documentation. Skills & Competencies Essential Excellent attention to detail. Strong organisational and administrative skills. Excellent written and verbal communication skills. Strong customer service skills. Ability to manage a varied workload and competing priorities. Strong IT skills including Microsoft Office applications. Ability to work independently with minimal supervision. Ability to interpret planning documentation accurately.
