Job description

Do you thrive in fast-paced, dynamic environments and have a passion for providing high-level executive support? The Office of the Police and Crime Commissioner (OPCC) for Wiltshire and Swindon is seeking a highly organised and proactive Executive Assistant (EA) to support the CEO, Director of Operations and Chief Finance Officer. This role offers a unique opportunity to work closely with the Police and Crime Commissioner (PCC), Chief Executive Officer (CEO), and senior management, playing a key role in the smooth and efficient running of the office. The Role As the Executive Assistant, you will be at the heart of the OPCC’s operations, providing comprehensive administrative support to the senior executive team. Your responsibilities will range from managing complex schedules, acting as a gatekeeper for high-level communications, and ensuring timely and accurate document production to facilitating meetings and handling public queries. This role requires you to be highly adaptable, able to prioritise tasks, and manage conflicting demands with ease. Key Responsibilities * Executive Support: You will serve as the first point of contact for senior leaders, screening calls, managing enquiries, and handling sensitive communications. You will ensure efficient diary management, arrange meetings, and oversee travel logistics while maintaining a high degree of discretion. * Document Production & Research: Confident use of digital tools to produce high-quality documents, reports, presentations and briefing materials. You will also conduct research and prepare briefing documents, ensuring all information is relevant and well-organised. * Meetings & Events: Manage all aspects of meeting logistics, from preparing and distributing agendas to booking rooms and organising refreshments. You will also plan and coordinate larger events such as seminars and ceremonies, ensuring smooth execution. * Office Operations: Delivery of administrative functions, including record-keeping, filing, and responding to correspondence on behalf of the PCC. Ensure legal and compliance standards are met, particularly regarding information management and GDPR. * Public Interface: Respond to general queries from internal and external stakeholders, including members of the public, partner organisations, and other PCC offices. You will resolve issues and provide signposting or advice as needed, maintaining a high standard of customer service. What We’re Looking For To excel in this role, you will need to be a proactive problem-solver with excellent interpersonal skills and the ability to handle confidential information with integrity. You will have a proven track record in providing executive support in a busy and high-pressure environment. Key Requirements * Educated to A Level standard or equivalent experience * Proven secretarial and administrative experience, ideally supporting senior management in a fast-paced setting. * Strong digital literacy, with experience of using technology to manage workflows, maintain records, and support effective communication. * Exceptional diary management and organisational skills, with the ability to prioritise and juggle multiple tasks. * Excellent written and verbal communication skills, including minute-taking and preparing reports. * High proficiency in Microsoft 365, including Outlook, Word, Excel and Teams, with the ability to use digital tools confidently and efficiently. * Strong attention to detail and the ability to work autonomously, demonstrating initiative. * A diplomatic and professional approach to managing relationships with a wide range of stakeholders. * Confidence in handling sensitive information securely, with an understanding of digital records management, GDPR and information governance. * Experience working in a politically sensitive or public sector environment. Why Join Us? At the Wiltshire and Swindon OPCC, we are dedicated to creating safer communities and supporting policing services that deliver positive change. As an Executive Assistant, you will be a key player in ensuring the efficient functioning of our office, while being involved in the strategic priorities that impact our region. We offer: * A varied and dynamic work environment where no two days are the same. * Opportunities for professional development and ongoing training. * A role that directly contributes to community safety and policing effectiveness. Additional Information * This role is politically restricted under the Local Government and Housing Act 1989. * The successful candidate will require NPPV3 / SC security vetting. * Flexibility in working hours is essential, as the role may occasionally require work outside standard office hours. * Access to a vehicle is required, or the ability to make alternative arrangements to meet the demands of the role. Wiltshire and Swindon OPCC is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to share this commitment. J-18808-Ljbffr
