Job description

The Human Resources (HR) Administrator is a key role within HR Operations responsible for delivering accurate and efficient HR administration maintaining employee data integrity supporting compliance requirements and providing a high-quality service to employees managers and the wider HR team.

Key Responsibilities

  • The HR Administrator is responsible for maintaining accurate complete and up-to-date employee records ensuring data integrity across all HR systems.
  • Managing the HR case management system (Halo) ensuring all queries are logged prioritised and responded to within agreed service levels. Monitoring query trends and escalating themes or risks to the HR Operations Lead.
  • Maintaining accurate and up-to-date employee records across all HR systems ensuring all changes are validated authorised and processed in line with company policy internal controls and GDPR requirements.
  • Providing first-line guidance to employees and managers on policies and procedures escalating complex or high-risk employee relations matters to relevant HR colleagues.
  • Supporting the administration of SMCR processes including certification tracking maintaining accurate regulatory records and ensuring compliance with internal governance and regulatory requirements.
  • Managing HR-related invoices ensuring accurate coding appropriate authorisation and timely submission working closely with Finance to support accurate processing and reconciliation.
  • Processing payroll reports and supporting the investigation and resolution of payroll queries working closely with the Payroll Manager to ensure accuracy compliance and timely processing.
  • Support the administration of employee visa processes maintaining accurate records and monitoring key renewal dates to help ensure compliance with UK immigration requirements.
  • Carry out Right to Work checks for new hires and existing employees where required maintaining accurate documentation in line with Home Office guidance and internal procedures.
  • Respond to employee and manager queries relating to Right to Work and visa administration escalating more complex matters where appropriate.
  • Prepare regular payroll and HR reports ensuring data accuracy and supporting the provision of management information as required.
  • Validate payroll-related changes including employee lifecycle events benefits and contractual amendments ensuring information is submitted accurately and within agreed deadlines.
  • Supporting the administration of business-as-usual (BAU) and cyclical employee benefits including Private Medical Insurance Electric Vehicle and Cycle to Work schemes ensuring accurate records compliance with scheme rules and timely processing.
  • Contributing to HR projects and continuous improvement initiatives supporting process enhancements and ensuring operational readiness for implementation.

Qualifications :

Skills & Experience

  • Proven Administrative experience is essential and preferably within HR or with a keen interest to work in HR.
  • Communication Skills: Ability to communicate effectively with employees management and external stakeholders
  • Attention to Detail: Accuracy in managing employee records and processing payroll
  • Confidentiality: Maintaining the privacy and security of sensitive employee information
  • Problem-Solving: Ability to address and resolve employee issues and queries
  • Time Management: Efficiently handling multiple tasks and deadlines
  • Team Player: Collaborating with HR colleagues and other departments
  • Adaptability: Flexibility to adjust to changing HR practices and regulations
  • Continuous Improvement: A keen interest to improve processes to enhance the employee experience.
