The Studio coordinator provides customer-centric intake management, calendar, organisational, reporting, and administrative support to the Event Productions team and its customers. The primary focus is to support intake operations and scheduling of studio requests. They are the primary point of contact for the customer, responsible for the booking process, planning and operations.
The candidate will be able to demonstrate strong organizational skills, impeccable customer service attitude, step seamlessly into a corporate environment, and have the ability to work across multiple teams and cultures.
Key job responsibilities
- Coordinates requests, including but not limited to studio recordings and post production.
- Act as a dedicated POC for customers, including production team and third-party vendors when required.
- Available for customer meetings, and productions.
- Manages meetings effectively; provides supporting documentation and aligns stakeholders.
- Maintains multiple operations calendars and databases.
- Daily customer communication support and management.
- Regular scheduling of customer requests.
- Improves efficiencies and works to optimize processes.
- Coordinates project-related data and reporting.
- Works on defined projects, with straightforward goals.
- Able to identify blockers and facilitate progress.
- Research new technologies to constantly evolve our services to keep up with industry standards.
- Play a part in the hiring, training, and development of others. Also working as a mentor within and outside of the team.
- Write documentation to standardize and raise the bar.
- Work and partner with external vendors when required.
- Work on projects and solutions that may affect multiple systems in a single region.
BASIC QUALIFICATIONS
- 3+ years of program or project management experience.
- Experience working cross functionally with technical and non-technical teams.
- 2+ years of experience on-site live studio production or event management.
- 2+ years knowledge of Microsoft Office Suite and event planning platforms.
- Scheduling and calendaring management.
- Raises the bar with both verbal and written documentation.
- Able to clearly communicate and collaborate with team members and customers in a corporate environment.
- Demonstrates ability to maintain and manage complex calendaring systems and databases.
- Knowledge of studio workflow
