Job description
A highly regarded independent preparatory school in Surrey is seeking an experienced and discreet Executive PA to support the Headteacher in the smooth and professional running of the school. This is a senior-level administrative position within a well-established prep school known for its academic strength, strong pastoral ethos and close-knit community. The school educates pupils from Reception through to Year 6 and prides itself on combining traditional values with a forward-thinking approach to education. The Headteacher plays a visible and active role in daily school life, and this position will be central to ensuring their time and strategic priorities are managed effectively. The Role As Executive PA, you will act as the primary point of contact for the Headteacher, managing their diary, correspondence and key communications with professionalism and diplomacy. You will be trusted to handle confidential information and coordinate high-level school events and governance processes. Your responsibilities will include: • Managing the Headteacher’s diary, appointments and travel arrangements • Drafting and proofreading correspondence, reports and communications • Acting as Clerk to Governors or supporting governance meetings where required • Preparing documentation for board meetings and maintaining accurate records • Coordinating whole-school events, open days and parent meetings • Handling sensitive parental or staff enquiries with discretion • Supporting strategic projects and school development initiatives You will be expected to anticipate needs, prioritise effectively and ensure that the Headteacher’s office operates efficiently at all times. The School Environment This independent preparatory school is set within attractive grounds and modern facilities, providing a calm and professional working environment. The administrative team is well established, and there is a strong culture of mutual respect between teaching and support staff. Parents are highly engaged in school life, and communication standards are exceptionally high. The role therefore requires excellent interpersonal skills and the ability to represent the Headteacher’s office with confidence and professionalism. About You • Proven experience as a PA or Executive Assistant, ideally within education • Exceptional organisational and diary management skills • Strong written communication and minute-taking ability • High level of discretion and confidentiality • Confident working with senior leaders and governors • Professional, calm and solutions-focused approach Experience in an independent school environment would be advantageous but is not essential. What’s on Offer • Competitive salary in line with independent sector expectations • Professional and supportive leadership team • Attractive working environment with excellent facilities • Opportunity to play a key role in a respected Surrey prep school • Stable, well-managed school community This is a rare opportunity for an experienced PA to take on a central, strategic role within a prestigious independent preparatory setting.
