Location: Swansea, UK
Working Pattern: Full-time (37.5 hours per week)
Hybrid Working: Approximately 60% office / 40% home working following your onboarding period. During your first 3-6 months, you'll be based full-time in our Swansea office to receive hands-on training, build relationships with your team and set yourself up for success.

As a Project Associate, you'll become an essential member of our Project Administration team, working alongside experienced Project Managers and Clinical Research professionals to support global clinical trials for some of the world's biggest pharmaceutical and biotechnology companies.

What You'll Be Doing

As a Project Associate, you'll help keep global clinical research projects running smoothly by providing operational and administrative support across a wide variety of activities.

Your responsibilities will include:

  • Coordinating meetings with global project teams and clients, including scheduling, preparing agendas, taking minutes and following up on actions.

  • Supporting Project Managers with the day-to-day running of international clinical studies.

  • Preparing, maintaining and distributing important project documentation while ensuring accuracy and compliance.

  • Managing study information, organisational charts, team calendars, contact lists, newsletters and project communications.

  • Maintaining electronic study documentation and ensuring files meet quality and regulatory standards.

  • Supporting financial administration, including purchase orders, invoice processing and investigator payments.

  • Producing project reports and dashboards, reviewing data for accuracy and identifying trends.

  • Updating and maintaining multiple internal systems to ensure high-quality project information.

  • Supporting training activities by assigning learning, tracking completion and maintaining training records.

  • Helping improve processes by identifying opportunities to make ways of working simpler and more efficient.

  • Working closely with colleagues across project management, clinical operations and business support teams to help deliver successful clinical trials.

Qualifications & Experience

We'd love to hear from you if you have:

  • A Bachelor's degree (or equivalent) in Business, Life Sciences, Health Sciences, Finance or another relevant discipline.

  • Strong Microsoft Office skills, particularly Excel, Word, Outlook and PowerPoint.

  • Excellent written and verbal communication skills.

  • Good organisational and time management skills.

The following would be an advantage, but are not essential:

  • Experience in administration, project coordination or customer support.

  • Placement year, internship or graduate experience.

  • Experience within healthcare, pharmaceuticals, life sciences or clinical research.

  • Experience using Microsoft Teams and taking meeting minutes.
