Job description

Do you have experience coordinating theatre productions and supporting busy creative teams? Are you highly organised, proactive and able to manage multiple priorities in a fast-paced environment? Do you enjoy being the person who keeps projects, people and information connected and moving forward?

We are looking for a Production Coordinator to join our busy London Productions team, operating across the West End and on tour both across the UK and internationally. This is a pivotal role that acts as a central point of contact between the London office and colleagues across the RSC, supporting the successful delivery of our full range of commercial theatre productions from development to opening night. Current recent production and general management work includes: My Neighbour Totoro, Cyrano de Bergerac, Born with Teeth, Hamnet, Kyoto and Hamlet Hail to the Thief.

This role is ideally suited to someone with experience working in a professional theatre environment, in a similar role on larger scale productions, or someone who has developed proven comparable skills across the wider creative industries.

Reporting to the General Manager key areas of responsibility include (please see the Role Profile for the comprehensive list):

  • Coordinating the logistics and administration of productions from development, throughout pre-production, running and closing across a range of RSC commercial titles.
  • Support the arranging of rehearsals and auditions, including room bookings, logistics and risk assessments.
  • Supporting Production Managers, Stage Management and Company Management teams with day-to-day production activity.
  • Acting as a key point of contact between the London Productions team and departments across the RSC.
  • Coordinating the day-to-day running of the London Productions office, welcoming guests, organising meetings, maintaining office facilities and providing administrative support.
  • Managing production administration, including meetings, documentation and information sharing.
  • Raising purchase orders, processing invoices, payroll and support financial administration.
  • Arranging travel, accommodation and visa requirements for creative and production personnel.
  • Coordinating programme updates, press nights, first nights and other key events.
  • Supporting with show staff recruitment, onboarding and people processes in partnership with colleagues across the organisation.

To be suitable for this role, it is essential that you have the following knowledge and experience:

  • Proven experience providing production coordination, logistical or administrative support within a professional theatre environment.
  • Knowledge and understanding of theatre practices, ideally including West End productions.
  • Experience working with freelance creative, technical or production teams.
  • Good working knowledge of SOLT/UK Theatre agreements and relevant Equity, Bectu or MU agreements.
  • Excellent organisational skills with strong attention to detail.
  • Strong communication and relationship-building skills.
  • The ability to manage competing priorities in a busy, deadline-driven environment.
  • Confident IT skills, including Microsoft Office 365, and the ability to handle confidential information with discretion.

This is a full-time, permanent position based in New Oxford Street, London.

You will be working 40 hours per week, Monday-Friday, although occasional weekend and evening work will be required.
