Role Summary
We are seeking a proactive and highly organised Service Co-ordinator / Administrator to join our busy office services team. This pivotal role ensures the seamless coordination and support of day-to-day service operations, liaising with Engineers, Clients, Suppliers, and Directors to deliver a high-quality service experience.
Key Responsibilities
- Handle client communications professionally, providing timely and accurate information to internal and external stakeholders.
- Support the Service Manager in managing and updating electronic planners and internal scheduling systems.
- Log and manage both PPM (Planned Preventative Maintenance) and reactive maintenance calls.
- Monitor and update client portals, ensuring real-time visibility of service status and compliance records.
- Coordinate with engineers and subcontractors, supporting the planning and allocation of jobs.
- Maintain and update job boards and T-card systems; assist with job tracking, documentation, and preparing files for invoicing.
- Manage customer queries, feedback, and service progress follow-ups.
- Administer a portfolio of client sites, supporting contract renewals and compliance obligations.
- Assist in generating minor quotations and procuring spare parts, including order tracking and deliveries.
- Ensure the organisation of digital records, backups, and shared folders (e.g., server, Dropbox).
- Carry out general office administrative tasks and ad hoc duties as required.

Business Administration or related qualification (preferred but not essential).IT Proficiency :
