Lettings Coordinator - Sloane Square - £35,000 to £38,000 DOE
My Client, a prestigious Property Management, Investment and Development firm are currently seeking a highly motivated Lettings Coordinator to join their stunning office in Prime Central London.
The individual will be responsible for providing administrative support to the Residential Lettings team including Property Management ensuring highest cover of customer service at all times with all internal teams, external stakeholders, clients & tenants.

Responsibilities
- Dealing with letting enquiries for prospective and existing tenant
- Arranging and carrying out viewings with prospective tenants where required
- Providing assistance to the residential team members on annual leave, sickness or absence
- Being the first port of call for the residential team, during busy periods taking calls and messages etc.
- Maintaining property details, uploading photographs, floor plans and descriptions for properties as they become available and removing them when they are let
- Sending out bulk correspondence
- Ordering, naming, filing photographs and floorplans
- Sending welcome emails to new tenants and preparing and delivering welcome boxes to properties
- Instructing, progressing & reviewing references via LetRef
- Arranging tenant access for works i.e., roof checks, gutter checks, defect inspections etc.
- Reviewing and analysing all residential customer service feedback data and keeping records
- Notifying utility providers on behalf of the tenants at the commencement and end of tenancies to open / close accounts
- Responsible for maintaining the "vacant property" spreadsheet and updating the Area Supervisors regarding the content on a weekly basis
- Responsible for inputting the necessary data and managing the Traka key system
- Sending tenants check-in / out reports
- Sending tenants compliance documents at the beginning of their tenancies (e.g. GSC, EPC, EICR and How to Rent Guide)
- Invoice approvals
- Dealing with post from empty properties
- Maintaining good relationships with agents and contractor
- Updating Horizon with tenant contact details
- Issuing works orders for the team
- Providing cover on reception during sickness and absence
- Ensuring the WFH rota on Teams is kept up to date across the whole team
- Organising and coordinating residential team events and socials
- Assisting the head of residential with admin and ad hoc duties
Experience and Skills Required
2+ years' proven Lettings Administration experience requireExperience of dealing with clients and customers confidently with excellent verbal and written communicationTeam player with strong customer service skills, able to provide a helpful and polite serviceExcellent communication skillsFocus on customer service and deliveryGood organisational and time management skills with the ability to prioritise workload and multitask in a calm and professional mannerAble to work under pressure to deadlinesCareful and conscientious with an aptitude for attention to detailExcellent critical thinking skills with aptitude for creative problem solvingWorking Structure & Benefits
