Job Role : Bid Co-Ordinator
Salary : Up to circa £40,000 + Excellent Benefits
Location : Newcastle (Hybrid)
GEM Partnership is delighted to partner with a well-established, market-leading property development agency in the recruitment of a Bid Co-Ordinator. With 10 offices across the UK, they provide property consultancy services, ranging from architecture to property valuation and management .
As part of exciting growth and development plans, our client is recruiting an individual to be responsible for tender portals and managing the end-to-end process of identifying, filtering, extracting, and distributing relevant tenders within their organisation, ensuring timely communication and accuracy at every stage.
Key Responsibilities :
Monitor the companys tender inbox and multiple tender portals daily to identify new and relevant opportunities that align with the organisations goals and strategies.
Filter and review tender notifications using specific departmental requirements i.e. Building Survey, Asset Management, Valuation, Architecture, Agency, and Property Management , ensuring only pertinent opportunities are selected for further action based on predefined business criteria (with support from the rest of the Bid team).
Extract essential details from tender documents (such as submission deadlines, requirements, evaluation criteria, client specifications, and documentation needed) and summarise them clearly and concisely.
Distribute and communicate extracted information promptly to appropriate departmental contacts, ensuring all deadlines and instructions are met.
Maintain an up-to-date bid tracker of all received, processed, and forwarded tenders as well as clarifications and submitted materials.
Create the folder in the companys SharePoint for each tender and share the link with the appropriate departments.
Required Skills and Qualifications :
Bid experience, ideally gained in Property Consultancy or Professional Services.
Attention to detail for accurately extracting, summarising, and forwarding information.
Effective organisational skills and the ability to prioritise tasks to meet strict deadlines.
Familiarity with online tender portals, document management, and basic procurement or bidding processes.
Good working knowledge of Microsoft Office (Word, Excel) and digital communication tools.
Ability to work independently.
