The Retail Operations Admin Assistant plays a vital support role in the day-to-day coordination and communication of key retail activities. Reporting to the Retail Operations Manager, this position ensures that store teams are kept informed, prepared, and equipped to deliver operational excellence. This role supports the whole Retail Operations team, giving exposure to multiple aspects of retail operations.

Responsibilities

Main Responsibilities

  • Store Communications & Promotions
  • Assist with planning and publishing store communications across various channels.
  • Add and maintain upcoming promotions in the NGAGE calendar, ensuring a minimum four-week rolling view is available to stores.
  • Draft and publish Gift with Purchase (GWP) communications, ensuring store teams have all relevant information for execution.
  • Support the coordination and documentation of retail store visits and related content for newsletters.
  • Assist in the creation and publishing of tasks and surveys on NGAGE to support store operations
  • Merchandising Comms & Planograms
  • Update the NGAGE platform with key new product launch dates and related information.
  • Ensure planograms are current and distributed ahead of launch dates.
  • Manage the upload and maintenance of brand planograms on NGAGE.
  • Process weekly merchandising surveys and share insights with relevant category teams.
  • Operational Administration
  • Upload and manage scheduling for Appointedd appointments
  • Support with scheduling brand staff in in store, for example National Artist programme and Brand Experts
  • Core Documentation & Resources
  • Maintain up-to-date versions of core documents such as store contact lists and the store bible.
  • Support general store ordering processes and the dispatch of essential supplies.
  • New Store Support
  • Provide administrative and logistical support for new store openings, including :
  • Printing of store documents
  • Ordering and dispatching new store supplies
  • Supporting the Retail Operations Coordinator with additional setup needs
  • Ad Hoc & Cross-Team Support
  • Participate in ad hoc tasks such as goody bag packing and other internal initiatives.
  • Support with supplies send out to existing stores

Skills & Experience Required

  • Strong administrative and organisational skills with excellent attention to detail.
  • Confident communicator, both written and verbal.
  • Competent with Microsoft Office Suite (Excel, Word, PowerPoint) and a willingness to develop these skills
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • A collaborative and flexible approach to team support
  • Proactive, reliable, and eager to support the wider team.
  • Interest in retail operations, communications, and team engagement.
