Customer Service Coordinator – Facilities Management

Coventry, West Midlands

£25,500 - £27,000 per annum (depending on experience)

12 month + maternity cover contract (then possible permanent position)

Initially, a 12-month + maternity cover position, this position has the genuine potential to transition into a permanent role for the right candidate.

As a pivotal part of our team, you will ensure the smooth coordination of tasks, providing exceptional service to customers and supporting engineers with their daily operations.

Responsibilities will include :

  • Scheduling works for Facilities Management Engineers, including logging call-outs and booking works with clients.
  • Ensuring all required documentation, such as RAMS, POWs, and other compliance records, are logged ahead of scheduled works.
  • Upgrading quotations with customer Purchase Orders and creating PPM contracts from approved quotes.
  • Booking compliance works and tracking engineers' job sheet scores to support continuous improvement.
  • Creating and managing jobs for training sessions and team meetings.

Experience and skills required :

  • Previous experience working in a customer-focused, office-based administration role is essential
  • A methodical and process-driven approach to work, with an eye for detail and organisation.
  • The ability to work effectively under pressure in a fast-paced environment
  • Strong communication skills, both written and verbal, to provide clear and professional support to customers and colleagues.
  • Familiarity with Microsoft Office tools, particularly Excel, is essential.
  • Experience working with service management software such as Job Logic is advantageous but not required as training will be provided
