Job description

Job summary

This is an apprenticeship position; the post holder will be supported with the delivery of the service and development of their skills, knowledge and ability to understand the role.

The role will consist of : -Assisting with the smooth operation, maintenance and up-keep of the administrative function of the department and all the Executive Directors.

This includes providing the first point of contact, helping with printing of papers and agendas and overseeing the bookings of the Dulwich Room and Boardroom.

The post holder will support the Team Leader, under the supervision of the Team Leader, Diary Co-ordinators, Business Co-ordinators and Executive Directors with basic administrative tasks. They will only take instructions from the Team Leader.

To conduct the business of the office area quietly and calmly communicating effectively with nursing, medical and other staff to promote the best environment for the efficient running of department.

This is an apprenticeship position, fixed-term for 24 months, leading to a Business Administration level 3 qualification.

Main duties of the job

o To work closely with the Team Leader, support her with administrative tasks as directed.

o To support in organising any necessary meetings for the Executive Directors.

o Printing relevant papers and documents for meetings for the Executive Directors.

o To help manage and maintain the relevant shared drives.

o To ensure the proper maintenance, servicing and repair of relevant systems and machines including the responsibility for reporting faults and following up actions.

o To log complaints and ensure CEO signs ff and hand back to Complaints office

o Co-ordinate the Room booking system and make the booking and liaise with the Team leader for queries re the Room bookings

o To co-ordinate filing (paper and electronic).

o Ordering stock and monitoring levels.

o Book Ned walk arounds for the Neds and Execs

o To help in ensuring that necessary papers and agendas are circulated in good time for any meetings for the Executive Directors
