Archiving & Operations Assistant

Location : Hertford

Salary : Competitive

Hours : 36 hours per week

About the Role

A well-established and highly regarded law firm is seeking an Archiving & Operations Assistant to join their dynamic Operations team. This is a fantastic opportunity for a detail-oriented and proactive individual to contribute to the smooth running of the firm by ensuring accurate record-keeping and efficient operational support.

Key Responsibilities

Archiving :

  • Retrieve and deliver file and document requests at set times throughout the day, ensuring accurate records are maintained.
  • Maintain and update database records for archived files, ensuring compliance with the firm's file retention and retrieval policies.
  • Regularly liaise with departments to archive closed files on a rotational basis.
  • Ensure all storage areas are tidy and meet health and safety standards.
  • Arrange for offsite storage and coordinate file destruction when required.
  • Retrieve offsite files as needed, keeping accurate records of their movements.

Operations :

  • Provide Reception cover on Wednesday and Thursday afternoons (15 : 00 – 17 : 15) and assist as needed.
  • Assist with maintaining kitchen supplies, including ordering milk, managing dishwashers, and restocking coffee machines.
  • Manage office supplies, including ordering stationery, cleaning materials, and IT consumables.
  • Support daily post opening and scanning when required.
  • Assist with marketing events and provide ad-hoc support to the Operations team.

  • Highly organised with a hands-on approach to problem-solving.

  • Strong communication skills and ability to follow procedures effectively.
  • Team player with a proactive and approachable attitude.
  • Additional Information :

  • Some manual handling is required (training will be provided).
  • Confidentiality and professionalism are essential.
  • The role requires flexibility to assist across different areas of the firm when needed.
