Job Overview

To support the Head of Department in the provision of legal services by providing legal assistance  to fee earners and clients.

Responsibilities and Duties

  • To assist Fee Earners in the management of caseload by actioning legal procedures as directed  by the fee earner.
  • To assist Fee Earners in the management of caseload by dealing with file related queries either  face to face or by telephone.
  • To be able to complete tasks competently and within defined timescales.
  • Taking dictations and typing.
  • Liaising with the Accounts Department regarding payment and financial matters.
  • To be able to work to a high standard and possess a fine attention to detail and to be organised  and efficient whilst working under pressure.
  • Liaising with clients and other contacts, dealing with queries, taking instructions and  conducting letter and telephone enquiries as necessary.
  • Ensure work issues or problems are reported immediately to the management team.
  • Ensuring compliance with the firms policies and procedures.
  • To be fluid in the use of the Case Management system.
  • To improve and enhance the firm's client base by effective liaison with existing clients.
  • To maximise the firm's potential to cross-sell services by identifying appropriate  opportunities.
  • To manage own work allocation, productivity and quality of work with minimum supervision.
  • Undertake other clerical and administrative duties as may reasonably be required from time to  time.

Experience Required

Essential

  • Have recent knowledge and experience working within a Private Client Department
  • Have recent knowledge of assisting on a varied caseload of Wills, Probates, LPAs and Estate  Administration
  • Practical experience of handling client enquiries face to face and by telephone
  • Confident, articulate, robust approach to relationships and interactions with colleagues
  • Ability to work quickly and accurately under pressure and adhere to critical deadlines
  • IT literate and have good keyboard skills. Microsoft is essential.

  • Studying for Membership of the Institute of Legal Executives
  • Working knowledge of case management systems
