Wood is recruiting for a Document Controller to join its Process & Energy team, focusing on collection, distribution, retention and archiving of documents through Electronic Document Management Systems (EDMS), management of site facility drawings and information requests. This is a fixed term role for approximately 6-9 months on an initial part time basis of 20-30 hours, increasing to full time 37.5 during the roles duration. The role will be based between Woods office and at the clients site in Stockton-on-Tees. Hybrid working is available (3 days on site, 2 days remote)

The role
You will be responsible for collection, distribution, retention and archiving of documents through document management systems and work processes and ensuring all technical documentation associated with the assigned project scope is registered, filed, transmitted, and archived in compliance with document management procedures.

RESPONSIBILITIES
Register and transmit internal, vendor and client documentation for the projectCheck documentation to ensure that formats comply with company and client standardsArchiving Project and Corporate Records, either hardcopy or electronically; and the identification, indexing, transfer, storage, protection, retrieval, retention and disposition of the recordsEnsure all project documentation is imported into document management system and filed accordinglyEnsure all documentation is transmitted to the client as per client requirements and in an expedient mannerArchiving and retrieval of historical documentationAssist and provide assistance to Wood personnel with respect to any document management system queriesQuality check of all Documentation prior to issuing / transmitting to clientResponsible for the handling of requests for new Document numbers / hard copy documentationScanning, printing and copying of project documentationProcess and record accurately all technical documentation in accordance with agreed proceduresEnsure that hard copy and electronic record files as required are maintained in good order to comply with QA requirementsRun document control reports (if available and required) from the applied company or project document control systemEnsure document management procedures satisfy project, client and regulatory requirementsIndependently handle all aspects of Project documentation utilizing various document control practices and Electronic Document Management Systems (EDMS)Monitor progress of in-house and Client reviews of technical dataContribute to compilation of final project dossiers, as built portfolios and archivingEstablish a systematic and comprehensive Project Filing SystemProduce exception reports, comment overdue reports and any other reports for Project Management reviewQUALIFICATIONS
