Job descriptionJob Title : Site Secretary (Site-based)Location : HayesDuration : 6 weeksWe are looking for a Site Secretary to join a busy site-based team in Hayes for a 6-week contract. This role is perfect for someone who has prior experience in a similar administrative role within a construction or project management environment. You will be responsible for providing crucial administrative support to ensure the smooth running of the project, from site organization to helping the project management team stay on top of key tasks.Job Responsibilities :

  • Site Administration : Act as the main point of contact for all administrative activities on the project site.
  • Documentation & Reporting : Maintain and organize all project documentation, including daily reports, site diaries, and health & safety records. Ensure all documents are up to date and easily accessible.
  • Project Coordination : Work closely with the project manager and site team to schedule tasks, coordinate site activities, and ensure the efficient flow of information between stakeholders.
  • Logistics Management : Help organize the movement of materials, tools, and equipment, and track deliveries to ensure they align with project timelines.
  • Health & Safety Compliance : Ensure that all site activities are carried out in compliance with health, safety, and environmental regulations. This includes assisting in organizing safety inductions for new workers and ensuring that safety documentation is completed correctly.
  • Communication : Liaise with contractors, subcontractors, and suppliers to coordinate site operations. Communicate any potential issues or delays to the project manager.
  • Budget & Schedule Tracking : Assist in monitoring the project’s budget and timeline, flagging any issues that could affect the project's delivery or costs.Essential Skills and Experience :
  • Proven experience in a project administrator or site-based role within construction or a similar industry.
  • Strong organizational and time management skills.
  • Ability to handle multiple tasks and prioritize work in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to collaborate with site teams, contractors, and external stakeholders.
  • Proficiency in Microsoft Office, especially Excel and Word.
  • Knowledge of construction processes, safety standards, and regulations is a plus.
