Job summary

Anexciting opportunity has arisen to join the Medical Education Department as a Medical EducationAdministrator forWorcestershire Acute Hospitals NHS Trust.

We are seeking to recruit a Medical EducationAdministrator for 15 hours a week. This is a Countywide post covering both theWorcester and Alexandra Hospital sites, but the main base will be in the Arafa EducationCentre at the Alexandra Hospital. The hours will need to be worked over 2 dayson Tuesday and Wednesday.

Main duties of the job

The successful applicant will be a skilled administrator, possessing excellent IT and communication skills and will assist in the day to day running of the Education Centre. The Medical Education Department is a friendly and supportive team working across the Worcestershire Acute Hospitals NHS Trust, on the Worcestershire Royal and Alexandra sites.

Job responsibilities

Key WorkingRelationships

Internal

Consultants and junior medical staff working on theAlexandra Hospital site, nursing staff, midwives, clerical staff and all otherusers of the Centre.

External

Representatives from Pharmaceutical companies, GPs andany other external users of the Centre

Risk Assessment

Work withdisplay screen equipment and electrical equipment when setting up courses andmeetings. Occasional moving of furniture / room dividers to alter room settingsin the Centre.

Job Purpose

The post holder will :

Supportthe running of the Postgraduate Medical Education office at the AlexandraHospital.

The postholder will be expected to work closely with colleagues in the EducationCentre, and also work on their own initiative.

Providean efficient, professional and friendly service.

Key Duties

Provision of administrative support for Medical Educationin the Arafa Education Centre at the Alexandra Hospital. Occasional working on the WRH site may berequired, and occasional evening or weekend work may also be required. Time will be given back in lieu.

Assist in the administration of local training programmesfor junior doctors, to include induction and mandatory teaching programmesrelating to induction sessions, plus weekly teaching sessions.

Holding bleeps for protected teaching sessions, andmaintaining attendance records and summarising evaluation forms.

Providing an effective, efficient and courteous receptionto users of the Education Centre, in person and over the telephone. Being thefirst point of contact and meeting speakers on arrival, welcome and sort outaudio-visual requirements etc.

Maintenance and preparation of up to date email contactgroups.

Providing support and answering simple enquiries relatingto the Horus e-portfolio used by Foundation doctors and their supervisors.

Support Medical Education Management team in organisationand co-ordination of quality assurance visits as required.

Ordering stationery and other goods as required by meansof Procurement System and signing off receipt of goods as appropriate liaisingwith Medical Education Manager.

Filing as necessary for own responsibilities andassisting the Medical Education Team in housekeeping exercises as and whennecessary both in the offices and on the computer systems.

Assist with room bookings via the computerized bookingsystem where necessary.

There may be a requirement at times to movefurniture / open and close partitions / set up skills stations for courses. Full training would be given.

The appointed post holder will be expected to be anactive team member and be aware of when other team members are pressured andneed assistance and to be prepared to assist others at busy times and suchtimes of stress in the department.

General duties

The postholder may be required to undertake such otherduties and training and / or hours of work as may be reasonably required to beconsistent with the general level of responsibility of the post.'

Experience

Essential

  • Good organisational and administrative skills, evidenced by previous experience in an administrative role.

  • Experience in a health related or Education environment.

  • Excellent IT Skills and knowledge of Microsoft Office package.
