As part of our growth and expansion, we are looking for a dynamic and proactive Assistant Property Manager to join our team.Role Overview : As an Assistant Property Manager, you will play a crucial role in supporting the day-to-day management of a diverse portfolio of residential leasehold properties. You will assist with a variety of tasks, ensuring the smooth operation of properties, handling tenant and landlord queries, overseeing maintenance, and ensuring compliance with relevant legislation. This is an excellent opportunity for someone with experience in property management or a keen interest in leasehold management to develop their career in a fast-paced, client-focused environment.Key Responsibilities :

  • Property & Leasehold Management : Assist the Senior Property Manager in the management of a portfolio of residential leasehold properties, ensuring compliance with lease agreements and legislation. Monitor and ensure the timely collection of ground rents and service charges, and follow up on arrears.
  • Tenant and Leaseholder Relations : Serve as the first point of contact for tenants and leaseholders, addressing inquiries, complaints, and maintenance requests promptly and professionally. Manage tenant renewals and ensure all necessary documentation is in place for lease extensions, renewals, and terminations.
  • Maintenance & Repairs : Oversee day-to-day maintenance requests, liaising with contractors and service providers to ensure timely and cost-effective resolution of issues. Conduct property inspections and prepare reports on condition, maintenance needs, and health & safety matters. Ensure compliance with building safety regulations, including fire safety and health and safety requirements.
  • Financial Management : Assist with the preparation and management of service charge budgets, and ensure effective management of finances related to properties in your portfolio. Assist with the reconciliation of accounts, including reviewing invoices and processing payments.
  • Compliance & Legislation : Ensure all properties under management comply with the relevant legislation, including leasehold regulations, health and safety laws, and local authority requirements. Assist with preparing for audits and inspections.
  • Reporting & Administration : Maintain accurate and up-to-date property files, ensuring all records, including correspondence, leases, and financial documents, are well-organized. Prepare reports for clients, including financial updates, property inspections, and maintenance schedules.Key Skills & Qualifications :
  • Previous experience in property management, ideally with a focus on leasehold management, either in a managing agent or residential setting.
  • Knowledge of relevant leasehold legislation and building management requirements.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with tenants, landlords, contractors, and other stakeholders.
  • Proficiency in property management software and MS Office Suite.
  • A proactive and problem-solving approach, with a keen attention to detail.
  • A passion for customer service and a commitment to providing the highest level of service to clients.
  • Ideally, a relevant property management qualification (e.g., ARLA, IRPM, or equivalent), or the willingness to work towards one.Desirable :
  • Experience in managing mixed-use developments or high-value residential properties.
  • Knowledge of RICS or ARMA guidelines and best practices.
  • First Aid and Fire Safety certifications are an advantage but not essential.What We Offer :
