Job description

Are you a highly organised and proactive Executive Assistant looking for an exciting new opportunity? We are seeking a detail-oriented professional to support our Managing Partners with their demanding schedules. This role requires initiative, discretion, and the ability to manage multiple priorities in a fast-paced environment.

About the Role

Based in London , this position offers hybrid working with flexibility required to accommodate international time zones. The ideal candidate will have experience supporting senior executives across different regions and will thrive in a dynamic setting. We are also open to considering a part-time arrangement for the right person.

Key Responsibilities

  • Managing complex calendars, scheduling meetings across multiple time zones, and coordinating travel arrangements.
  • Preparing itineraries and ensuring seamless time management for the Managing Partners.
  • Researching and booking hotels, restaurants, and venues for business trips and events.
  • Handling corporate gift-giving for clients.
  • Providing occasional support to other business unit heads with travel and client meetings.
  • Acting as the first point of contact for guests and managing incoming calls.
  • Coordinating with internal teams and external stakeholders.
  • Organising client and team events, including invitations, RSVPs, and catering.
  • Taking comprehensive meeting notes and maintaining records in the CRM system.
  • Assisting with formatting presentations and pitching materials.
  • Some personal support may be required on occasion.

Key Skills & Experience

  • A strong academic background , ideally with a 2 : 1 degree or higher .
  • Over 5 years of proven experience as an Executive or Personal Assistant , with expertise in managing complex travel arrangements and scheduling across multiple time zones .
  • Exceptional communication and interpersonal skills , with a high level of discretion .
  • Proven ability to build and maintain strong relationships with clients and key stakeholders.
  • Highly organised and detail-oriented , capable of managing multiple tasks efficiently in a fast-paced environment.
  • Proficiency in Microsoft Office , particularly Excel and PowerPoint , along with strong digital file management skills .
  • A self-starter who is adaptable, proactive, and confident in offering new ideas and solutions.
  • Fluency in another language would be an advantage.
