Job summary

An excitingopportunity has arisen to join the Malvern, Evesham and Pershore Older AdultCommunity Mental Health Team based at Rowan House in Malvern as an Administrative Assistant. The team alsooperate out of Waterside, Evesham Community Hospital and on rare occasionsthere may be the need to provide cover at this base.

This is a permanent position. The core working hours areMon-Fri 9-5, the post is 30 hours per week. As a service we understand the importance ofwork life balance and strive to find individual ways to ensure that our teammembers can achieve this, whilst ensuring we continue to deliver the bestservice to our patients.

The post will involveproviding a comprehensive administrative service within the team. The role will be varied providing thesuccessful applicant with an opportunity to gain valuable experience within theOlderAdult Mental Health Services. The locality admin team consists of a SeniorMedical Secretary, Medical Secretary, Team Secretary and AdministrativeAssistant who support a multidisciplinary team.

You will need to have a flexible attitude, have goodtime management and organisational skills. You will need good IT skills. Theteam is busy, but supportive with a focus on staff well-being and development.

Main duties of the job

The post willinvolve providing a comprehensive administrative service within the team. Theadmin team consists of a Senior Medical Secretary, Medical Secretary, TeamSecretary and Administrative Assistant who support a multidisciplinary team.

You will need to have a flexible attitude, have goodtime management and organisational skills. You will need good IT skills. Theteam is busy, but supportive with a focus on staff well-being and development.

A typical day will include answering / dealing withboth face to face and telephone enquires in a tactful and professional manner,recording any message efficiently and passing them to the relevant individualin an appropriate and timely manner.Provide administrative support as required, typing, data inputting,filing, scanning. Deal with incoming andoutgoing post. Undertake receptionduties as and when required.

Handle transport requests / arrangements, as thenappropriate.

Applicantsshould be educated to vocational level 2 in Business Administration or goodgeneral education with a minimum of two GSCEs at grade 9-4 (A-C) with good ITskills or considerable recent NHS administrative experience and will beexpected to undertake the relevant level 2 vocational qualification onappointment to the post.

Job responsibilities

  • Undertakeadministration duties that are specific to the role.
  • Provideadministrative support as required, for example, typing / word processing, datafiling, scanning / copying and telefaxing, in line with Trust Policies andProcedures.
  • Answer / dealwith both face-to-face and telephone enquiries.
