Office Administrator

Our client is seeking a part-time Office Administrator to join their small team in Oxford. Working in a standalone role, you will provide administrative support to the team and ensure the site is operating smoothly.

This is a part-time role working 25 hours per week. The days and hours of work are open to negotiation but need to be a set pattern once agreed.

Office Administrator Responsibilities

This position will involve, but will not be limited to :

  • Generate purchase orders from information provided and input on Sage.
  • Liaise with finance on any payment queries and purchases for the site.
  • Managing all maintenance, which includes negotiating with suppliers and contractors.
  • Comparing costs for services and goods and approving options with the Financial Controller.
  • Maintain an adequate inventory of equipment and office supplies.
  • Ensure compliance with health and safety and security regulations, including fire regulations.
  • Carry out monthly site checks to ensure the building is in a fit state and liaise with the landlord should maintenance works need to be carried out.

    Office Administrator Essentials

  • Administrative experience in a similar office-based role
  • Highly organised, and demonstrate a keen eye for detail
  • The ability to multitask, managing a large volume of POs and invoices
  • Familiarity with Sage or financial processes is highly desirable
  • Adaptable and approachable
  • Excellent communication skills and the ability to work independently while using initiative
  • Location

    This is a part-time role, fully office-based in central Oxford. The hours are 25 per week which can be split over 4 or 5 days ideally. There is free parking onsite, however, spaces are limited and come on a first-come first-serve basis.
