Job summary

24 months fixed term - 30 hours per week - Monday - Friday

An opportunity has arisen for an administrator for 24 months fixed term to join the Spinal team at the Royal National Orthopaedic Hospital to support the Unit and team in all administrative tasks / electronic referral system / Typing and supporting all the consultants and teams.

To be responsible for assisting the teams in the unit with administration and typing.

The post holder will be expected to work within a multi-disciplinary unit and deal with telephone and in-person queries, audio typing of medical and general correspondence, general office administration in line with the Trust guidelines, booking patient appointments in line with Trust guidelines and the 18 week pathway (RTT) rules, booking appointments.

We are seeking a administrator who has previous or current knowledge with hospital processes or similar, which includes : o C scribeo Electronic Via Pathpoint & ERS referral registrationo Tertiary referralso Knowledge of booking outpatient appointmentso Electronic scanning of patients notes You must have admirable communication skills, be able to work effectively in a multi - disciplinary team, using your own initiative when prioritizing your workload as well as being able to lead and maintain high standards of care alongside our trust values. You should be able to work well under pressure and be able to multi-task in this busy but friendly working environment

Job description

Job responsibilities

To assist in the provision of administration for the spinal consultants and their teams, to type clinic letters and other clinical or general correspondence from digital audio dictation / proof reading from digital dictation

Book all patients appointments working alongside the RTT policy for patients pathways via ERS / Path point system

To oversee all outcomes from clinic, making sure patients attendance / Imaging requests and therapy requests have been actioned by the clinical team

Deal with all incoming telephone enquiries and written queries promptly and efficiently, including appointment booking Work as a team with the other medical secretaries / administrators as directed by the Unit Co-ordinator / Service Manager to ensure a high quality service is maintained at all times during office hours

Undertake appropriate scanning and filing of correspondence, clinic notes, test results, etc, using Note On.

Qualifications

Essential

  • Educated to GCSE level, grade C or above including English
  • Literate and numerate
  • Evidence of continuing education and development

Desirable

  • NVQ3 admin / customer care or RSA 3 / AMSPAR or equivalent experience or CLAiT level 3 or equivalent experience
  • Experience

    Essential

  • Medical administrative / secretarial experience within a NHS secondary care setting
  • Working within a customer care environment
  • Experience of using large databases patient information systems
  • Audio typing / digital dictation experience

  • Experience of working within a multidisciplinary team
