JOBDESCRIPTION
JobTitle : CircuitAdministrator.
LayEmployee in the Wantage & Abingdon MethodistCircuit.
Location : This role will be a combination home and office-based working asrequired to carry out dutiesefficiently.
Responsibleto : The SuperintendentMinister.
Purposeand Objectives : To be responsible to and workclosely with the Superintendent Minister and other CircuitLeadership personnel providing administrative support to all themain activities of theCircuit.
MainResponsibilities
- Toprovide administrative support for the Circuit and be a generalpoint of contact for the Circuit, including being a point ofcontact when Ministers are away
- Inconjunction with the Circuit Meeting Secretary to co-ordinate, butnot necessarily attend the Circuit Meeting, and Circuit LeadershipTeam meetings, including either the booking of rooms or setting upvideo conferencing (Zoom) and preparation of agendas, minutes,papers, briefs and maintaining lists ofattendees
- To do preparatory work for the makingof the quarterly Circuit Plan and support the Superintendent in itsproduction, arranging for its subsequent distribution along withother information as required
- To handleroutine correspondence on behalf of the Circuit, for instance withsolicitors and surveyors, TMCP and the Connexional Team regardingsuch matters as the sale of buildings
- Tomaintain the Circuit Website, updating information as required andadvertising on it events in the churches andCircuit
- To ensure the smooth flow ofinformation to churches and relevant people in the Circuit andbeyond (e.g., in the District) including regularly circulatingdetails of Circuit / Church events on the CircuitDiary
- To prepare and distribute theCircuit Directory annually and keep the electronic version up todate
- To liaise and work with the Circuitand Church Safeguarding Officers, maintaining records ofsafeguarding checks and those who have attended training. This toinclude the management of DBS checks and to be a DBSverifier.
- To liaise with Senior ChurchStewards / Trustees and individual church administrators to maintainand update the necessary GDPR documentation
- Toarrange training for church volunteers as necessary in foodhygiene, first aid etc.
- To undertakeother administrative tasks such as maintaining details ofMinisterial holidays, sabbaticals and other absences, and orderingmaterials including membership tickets, Minutes of Conference andCPD
- To maintain the Circuit Safe for the safestorage and retrieval of information and annually review thecontents with the Superintendent
- Toprepare Circuit records for archiving, in conjunction with theSuperintendent
- To provide administrativesupport for individual churches, Ministers and Circuit Officers asrequired, with the approval of theSuperintendent
- To provide administrativesupport to the Circuit Stewards as required
- Toensure annual Charity CommissionSubmissions
- To have flexibility to attendoccasional evening meetings
- Any otherduties and responsibilities identified by the SuperintendentMinister that are within the Administrator’s capabilities and levelof responsibility, in order to meet the needs of theCircuit
