Admin Project Assistant
Location – On-site in Cambridge
Employment – Fixed Term Contract
Job Summary
We are seeking a Mandarin-speaking, highly organised individual with excellent communication skills and a consistently positive attitude to join our team as an Admin Project Assistant. The successful candidate will support the Project Manager in ensuring the successful delivery of a key project.
This role requires a professional and proactive approach, with a strong attention to detail and a solid understanding of administrative processes. The ideal candidate will be well-prepared, responsive, and capable of taking ownership of tasks. Strong team-working skills are essential, as is proficiency in common software such as Microsoft Excel, PowerPoint, and Word. A high standard of written and spoken English is also required. Most importantly, the candidate should demonstrate a genuine commitment to supporting the needs of the wider project team.
Key Responsibilities
- Organise and coordinate meetings, including scheduling, preparing agendas, and recording minutes
- Support the relocation process to ensure minimal disruption to daily operations
- Assist the Project Manager in tracking actions and ensuring timely completion
- Help prepare monthly project reports detailing status updates, delays, and key milestones
- Maintain accurate and timely records of all documentation
- Undertake other administrative duties as required
- Assist the Procurement Manager with supplier selection tasks, including :
- Prioritising and reviewing purchase requests, clarifying requirements with requestors
- Coordinating with business units to define supplier selection strategies
- Implementing the approved strategy and making final procurement decisions
- Placing orders, ensuring timely delivery, and resolving urgent delivery issues
- Support supplier qualification processes by :
- Liaising with potential suppliers to collect relevant information
- Coordinating supplier agreement negotiations
- Assessing supplier certifications and reporting findings to the Procurement Manager
