Rawmarsh Health Centre is excited to be recruiting a MedicalReceptionist to join our team.

Rawmarsh Health Centre is a forward thinking, innovative practiceconveniently based in the heart of Rawmarsh with excellent transport links tothe surrounding area including Rotherham, Doncaster, Barnsley and Sheffield.

Medical Receptionists play a fundamental role in PrimaryCare Services. As the first member of staff that a patient will encounter,their journey of patient centred care starts with you.

16 hours per week over 3 days.

Main duties of the job

First and foremost, it is vital that patients receive a warm, friendly, courteous and efficient service at all times and we expect all prospective candidates to exemplify these characteristics.

The role of the Medical Receptionist is varied and undeniably challenging yet fulfilling. Our receptionists undertake a wide variety of duties which reach far beyond the booking of appointments. Such duties you will be undertaking are :

  • Patient Registration
  • Care Navigation - the signposting of patients to a variety of different care providers and clinicians
  • Ordering patient medications
  • Ensuring patients get the right care, from the right clinician at the right time
  • Updating patient records (under the guidance of a clinician where applicable)
  • Offering Online Patient Access
  • Guiding patients through using our online services

    Job responsibilities

    Job Summary :

    The purpose of the role is to :

    Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

    Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

    Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of clerical support to clinical staff and other members of the practice team.

    Facilitate effective communication between patients, members the primary health care team, secondary care and other associated healthcare agencies.

    Job Responsibilities :

    The duties and responsibilities to be undertaken by members of the practice reception team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Practice Manager, dependent on current and evolving practice workload and staffing levels :

    Reception

  • Ensure efficiency of appointment system and monitor flow of patients into consulting rooms.
  • Ensure patients without appointments but who need urgent consultation are seen in a logical and non disruptive manner.
  • Handing completed repeat prescriptions to patient and checking names and addresses.
  • Ensure reception and waiting areas are kept neat and tidy, paying particular attention to Health and Safety guidelines.
  • Taking messages and passing on information
  • Appointments

  • Ensure total familiarity with the computerised appointment system.
  • Process appointment requests from patients by telephone, in person and via e-consult.
  • Deal with visit requests.
  • Monitor effectiveness of the appointment system and report any problems.
  • Utilise remote booking options to ensure patients are care navigated appropriately for their needs.
  • Computer

  • Deal with requests from doctors utilising the computerised task and notification facility.
  • Enter data onto patient electronic record as requested by clinical team.
  • Process repeat prescription requests in accordance with practice guidelines.
  • Telephone

  • Have working knowledge of telephone system, during and after opening hours.
  • Receive and make calls as required, ensuring all calls are answered where possible within 4 rings.
  • Action requests for ambulance transportation in line with practice policy.
  • Medical Records

  • Ensure correspondence, reports, results are scanned onto the clinical system.
  • Ensure all medical records are sorted and tagged in date order.
  • Ensure records are kept neat and tidy and in good repair.
  • Start and End of Day Procedures

  • Open up premises at the start of day, deactivate alarm and make all necessary preparations to receive patients.
  • Secure premises at the end of the day, lock all internal doors and ensure all windows are closed and locked, all internal lighting turned off and that the security alarm is activated.
  • Other Tasks

  • Chaperoning for clinical team.
  • Any other tasks allocated by Practice Manager.
  • Keeping the reception area, notice boards and leaflet dispensers tidy and free from obstructions and clutter.

    In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.

    In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential.

    Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
