Job description

Project London is hiring a office manager to join our team in London and to work with our sister company, Cor Domi.Both companies specialise in high-end residential projects, delivering exceptional results from concept to completion. With an exciting pipeline of projects, we are looking for a proactive, organised, and enthusiastic individual to support our dynamic team during this maternity cover.You will primarily work from our Parsons Green studio, with occasional remote work and site or client property visits. The ideal candidate will thrive in a fast-paced environment, enjoy variety, and be comfortable managing multiple priorities. You will work closely with both Managing Directors to ensure the smooth running of the offices and the successful delivery of our projects.This is a fixed-term role, ideal for a London-based candidate within a reasonable commute.Key ResponsibilitiesYour responsibilities of the role will include, but ae not limited to :

  • Producing and sending fee agreements and invoicing clients
  • Managing invoices to ensure timely payment by clients and suppliers
  • Overseeing general organisation and upkeep of the office, including restocking office supplies, acting as key point of contact for building management and cleaning team
  • Maintaining company templates, stationery, and contact databases
  • Answering phones, monitoring and responding to emails and inquires, greeting visitors and handling incoming and outgoing post
  • Act as primary point of contact for suppliers, including setting up trade accounts.
  • Procurement of items for client projects
  • Assist with website maintenance, updates including adding new projects etc.
  • Assist with production of marketing materials
  • Supporting client reporting and assisting in preparing presentations
  • Organisation of social events / networking
  • Managing subscriptions and certifications
  • Provide general administrative support to the teams as requiredSkills & Experience
  • Minimum of 5 years’ experience in a similar administrative role
  • Professional, motivated and able to maintain the highest levels of confidentiality and professionalism
  • Detail focused with excellent time management and prioritisation skills
  • Exceptional organisational skills with the ability to multitask effectively
  • Proficient in MS Office
  • Fluent in English both written and verbalWhy Join Us?
