Job Description : The Role
The Practice Assistant is primarily a Partner-focused role, based within a practice area in one of the Firm's fee-earning departments. The Practice Assistant will work with specified Partners and / or other senior fee earners to provide proactive, timely, and high-quality administrative and coordination support.
The Practice Assistant needs to be a self-motivated, organized individual who can manage a busy workload and take responsibility for tasks through to completion.
Duties and Responsibilities
Fee Earner Support
- Act as a first point of contact for fee earners, handling calls, emails, correspondence, and meeting requests, responding on their behalf when appropriate.
- Manage calendars proactively for assigned fee earners, including scheduling, looking ahead, and following up to optimize their time.
- Ensure fee earners are prepared for client meetings by gathering information, preparing background notes, and supporting follow-up actions.
- Assist fee earners with expense claims.
Matter Lifecycle
Support fee earners in managing client / matter lifecycle processes, ensuring documentation is obtained, stored, and compliant with firm procedures.Develop knowledge of billing systems to support timely and accurate billing and monitor unpaid bills in coordination with Credit Control.Coordinate WIP lists and billing activities, liaising with the billing team and monitoring time and bills against estimates.Ensure compliance with the firm's policies, including conflict checks and document management.Business Development
Assist in organizing events, preparing content, and maintaining the Client Handbook and BD reports.Collaborate with the client lead Partner and BD team on client care programs and activities.Organize business events, assist with expenses, and research client information and biographies.Manage CRM data, including logging referrals and contacts.Travel
Manage travel arrangements for fee earners, ensuring bookings are made through the firm's provider and supporting materials are prepared.General
Support with filing, archiving, scanning, and other administrative tasks.Work with document and presentation specialists for specialized tasks.Liaise with internal departments and cover for other Practice Assistants when needed.Skills / Experience
Experience supporting teams in professional services, preferably legal.Strong time management and multitasking skills.Experience managing multiple calendars with good judgment.High attention to detail and accuracy.Organized, methodical, and compliant with processes.Excellent interpersonal and communication skills, both written and verbal.Discretion in handling sensitive information.This description is not exhaustive; additional responsibilities may be assigned by line managers.
