Our client is seeking an experienced Executive Assistant to join a beautiful London office on a -month fixed term contract. This role is ideal for a return-to-work mum or father, it's for anyone looking to make a significant impact in a dynamic and supportive team culture. The position requires working four days a week in the office.
As an Executive Assistant, you will be responsible for supporting investment professionals within the London team. You'll be a crucial part of a small but mighty Administration team, consisting of EAs and Receptionists.
WHAT YOU WILL DO :
- Calendar Management : Manage multiple calendars for investment professionals, handling conflicting priorities and fast-paced schedules across various time zones.
- Travel Arrangements : Arrange complex international and domestic travel itineraries.
- Meeting Preparation : Prepare all necessary meeting materials, including printed presentations, agendas, and other documents.
- Meeting Coordination : Coordinate internal and external meetings, including room reservations, equipment setup, catering, and preparation of meeting materials.
- Expense Reports : Process expense reports in compliance with firm policies.
- Gatekeeping : Act as the primary point of contact between executives, managers, visitors, and incoming phone traffic.
- Personal Administrative Work : Handle occasional personal administrative tasks.
- Reception Support : Provide support to the Reception team as needed.
- Office Maintenance : Proactively ensure the smooth running and presentation of communal areas within the office.
- General Administrative Duties : Support the Office Manager and reception and collaborate with the wider Admin team in London.
WHAT YOU BRING :
Experience : 4 or more years of experience as an Executive Assistant.Technical Skills : Strong proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).Communication Skills : Excellent verbal and written communication skills.Professionalism : A high degree of professionalism, initiative, and resilience; ability to support a wide range of personalities and levels, including senior leadership.Organisational Skills : Ability to multi-task, shift direction, and prioritise effectively.Time Management : Excellent time management and interpersonal skills.Problem Solving : Solutions-oriented, resourceful, highly dependable, and detail-oriented.Discretion : Ability to handle confidential information with appropriate discretion.Preferred Experience : Prior experience within financial services is preferred.
