Job description

Are you a law graduate looking for a step on the ladder into the legal world? Join our team as a Post Completion Administrator within a legal environment.

We are looking for an organised individual to join our Real Estate Post Completion team in Nantwich.

Key Responsibilities :

Providing essential administrative support to the real estate team.

Managing contracts, documentation, and property transaction records.

Handling client communications and assisting with queries.

Ensuring the smooth running of day-to-day office operations.

Interviews will take place on Monday, 28th April at Poole Alcock’s Northwich office in Cheshire. Please note that this is an office-based position.

Responsibilities

Nature & Scope :

To ensure post completion registrations of title are completed within OS1 priority periods; ensuring that lender’s security is protected at all times; dealing with Land Registry requisitions; keeping lenders and clients updated using lender portals where required; to manage your own performance against KPIs; to work collaboratively with colleagues to facilitate the smooth running of the post completion team.

Key Accountabilities :

  • To prepare AP1 applications for registration to be submitted via the Land Registry’s online portal.
  • To manage key dates and deadlines to ensure that applications are submitted within the OS1 priority period; and requisitions fully replied to before the cancellation date.
  • To monitor Land Registry portal re communication and completion of registration notifications.
  • To ensure that all communication / documentation is safely and accurately stored in case management system.
  • To collaborate with colleagues to ensure accurate registration is completed, and to co-ordinate responses to requisitions.
  • To utilise spreadsheets and case management systems to organise and monitor key dates and deadlines.
  • To report to line manager on progress of files, and key dates.
  • To ensure clients are updated as necessary, and receive full confirmation and documentation on completion of registration.
  • To ensure lender clients are fully updated as to progress in line with each lender’s SLA, via the lenders chosen method of communication (eg lender portal; or email; or fax / letter).
  • To manage files so that documents are readily accessible.
  • To ensure that confidential information is not passed on to third parties without permission from line manager.
  • To handle information in a manner consistent with the firm’s policies relating to data protection and information security.
  • To escalate issues promptly to line manager / head of department in line with the firm’s risk policy.
  • To maintain good working relationships with colleagues.
  • To backfill other administrative functions within the office as required – for example providing cover for reception.
  • Compliance :

    You are required at all times to comply with our rules, policies and procedures in force from time to time including those contained in the Staff Handbook.
