Reporting to : Account Manager / Operations Manager / Controller

Main purpose of role : The Operations Executive role is central to the Administrative process within each Account. We are passionate about delivering first-class support to our teams and clients, tailored to meet and exceed their needs. We are driven to achieve operational excellence and to develop our skills in line with the clients’ and business’ needs.

Key Tasks and Responsibilities

  • Administration & Data Management : Daily download of retailer sales data, management of master data, forwarding inquiries, updating attendance logs, covering reception, supporting holiday cover, and assisting with booking meetings, accommodation, and flights.
  • Technical Support : Support with script loading, software issues via Service Now, validation of updates, and communication of changes.
  • Fleet Management : Main contact for fleet queries, maintaining driver / vehicle lists, supporting hire car bookings, liaising with IT for equipment.
  • Call File Management : Ensure accuracy of call files, support changes, and use of Geoplan tool.
  • Reporting : Basic report creation, data export, supporting account briefing processes.
  • Client Communication : First point of contact for operational queries and requirements.
  • New Business & Client Review : Support projects, build review presentations, analyze operational data, and prepare PowerPoint presentations.
  • Financials : Fuel reconciliation, expenses, driver deductions, credit card reconciliations, and payroll deadlines.
  • Strategic Direction : Participate in strategic planning and propose improvements.

Other Requirements : Minimum of 1 field visit and 1 meeting attendance per quarter, compliance with policies, health & safety, GDPR, and personal development responsibilities.
