Job description

We are seeking a detail-oriented and customer-focused Order Entry & Customer Service Representative to join our team in a fast-paced custom finishing environment. The successful candidate will be responsible for processing customer orders accurately and efficiently, responding to client inquiries, and ensuring excellent service throughout the production and delivery process.

Key Responsibilities :

Order Entry & Processing :

Accurately enter customer orders into the ERP system ( JobBOSS² )

Review incoming purchase orders for accuracy and completeness

Confirm order details with customers including pricing, lead times, and specifications

Coordinate with production and shipping teams to schedule jobs and deliveries

Monitor open orders and follow up on backlogs, changes, or issues

Customer Service :

Respond promptly to customer inquiries via phone and email /

Provide updates on job status, lead times, and shipping schedules

Resolve complaints or concerns with professionalism and escalate complex issues as needed

Build and maintain strong customer relationships through effective communication and follow-up

Administrative & Coordination Tasks :

Maintain accurate customer records and job files

Assist in preparing order acknowledgments

Work closely with the sales, quality control, and logistics teams to ensure timely order fulfillment

Support ongoing efforts to improve service quality, efficiency, and accuracy

Salary Type : per hour Job Requirements :

High school diploma or equivalent; post-secondary education in business or administration is an asset

3+ years of experience in order entry, customer service, or administrative roles (manufacturing or industrial experience preferred)

Proficient in Microsoft Office (Excel, Outlook, Word); ERP system experience an asset

Strong communication and interpersonal skills

Excellent attention to detail, organizational skills, and ability to multitask

Comfortable working in a dynamic, deadline-driven environment

Familiarity with finishing processes or manufacturing terminology is an asset
