CMS is looking for an experienced Facilities Assistant in our Sheffield office.

About the role

JOB PURPOSE :

To help deliver the day-to-day tasks of a diverse Facilities Service.

Tasks to include but not limited to the following :

basic maintenance & fabric tasks

front of house / reception services

basic H&S matters

The role is supported and managed by the One North Facilities Manager and the Assistant Facilities Manager.

KEY RELATIONSHIPS :

Facilities Manager One North Assistant Facilities Manager Landlord Contractors Building Facilities Manager IT Team Partners and other Business Services departments.

MAIN DUTIES :

Contribute to the provision of a high-quality service and environment for both clients and visitors

Shared monitoring of the One North Facilities Helpdesk inbox providing a timely response to all queries raised

Build awareness of service delivery targets via SLA and KPIs

Liaise with contractors carrying out works understand the task and monitor progress

A variety of basic maintenance and fabric tasks e.g. desk moves recording tap temperatures and low usage outlet flushing

Contribute to the provision of a safe workplace by proactively monitoring the office environment reporting issues to team and raising jobs with FM provider

Become familiar with emergency evacuation procedure and contribute to annual drills

Keep updated on HSE legislation and policies

Work with Client Services team on meeting room setups understanding capacity and styles available

Carry out daily AV checks in meeting rooms

Greeting internal and external visitors as required

Adhere to security procedures for visitors and clients including access passes. Record and track these to uphold security procedures.

Understanding the right questions to ask to gather information teamed with the ability to consider a problem and suggest practical solutions

Customer Service oriented with a can do attitude

SKILLS :

A basic understanding of all Microsoft applications is desirable

Ability to work on own initiative with a proactive attitude while maintaining standards under pressure

Well organised able to plan and prioritise work with strong attention to detail

The ability to listen question and interpret information to understand requirements

Problem solving skills and the ability to suggest and deliver creative / innovative solutions

Excellent verbal and written communication skills

Able to build strong relationships with key stakeholders e.g. landlord contractors internal staff other Facilities teams when required

Flexibility to support outside usual hours if required

EXPERIENCE AND QUALIFICATIONS :

A good standard of general education including Maths and English

Knowledge of Customer Service principles
