Thanks to continued growth and new contract wins, Spectrum Service Solutions is on the lookout for a motivated and detail-orientated Payroll Administrator to join our People Team.

About the Role :

As a Payroll Administrator, you’ll play a key role in representing Spectrum’s People Team, delivering accurate, efficient payroll services and contributing to the growth of our award-winning Commercial Cleaning & Facilities Management Business.

Based at our Head Office in Paisley, you’ll help deliver the high standards of service we’re known for — embracing creative thinking, attention to detail, and a values-driven approach in everything you do.

What You’ll Be Doing :

  • Categorise and action emails within the centralised mailboxes.
  • Record all information in our Time & Attendance system including rotas, shift changes, logging, absences etc., as well as processing any user errors to ensure accurate pay data.
  • Support with onboarding and offboarding processes, ensuring all documents and systems are up to date.
  • Carry out right to work checks and support compliance with employee record-keeping.
  • Calculate accrued holiday entitlement and track employee uniform issue to ensure accurate records.
  • Work collaboratively with HR and Operations to track and monitor all employee absence, maintain regular communication and prepare reports for management.
  • Provide support to the wider Payroll function, dealing with employee queries in a timely and professional manner.
  • Complete audits, track inactive employees, log contract changes, maintain accurate TUPE data.
  • Ensure PVG / Disclosures are up to date where required.
  • Maintain and update our systems with accurate employee data ensuring GDPR compliance.
  • Support the wider People Team with ad hoc tasks and reporting including projects and change initiatives.
  • Schedule : Monday to Friday 09 : 30 – 14 : 30 (open to discussing alternative hours)
  • Contract : Permanent contract of employment, 25 hours per week
  • Pay : £28,350 per annum pro rata, paid monthly in arrears
  • Holiday Entitlement : 28 days inclusive of bank holidays to take at your leisure
  • Location : Modern offices based in Paisley, PA3 near Glasgow Airport with multiple transport links available

Who We’re Looking For :

  • At least 1 years’ experience in a similar role– essential
  • Industry knowledge – preferred
  • Payroll software experience – essential
