We are looking for a highly organised and proactive Admin to join our busy care office for a 6-month fixed-term role. This position is key to keeping our operations running smoothly, supporting our care teams, and ensuring we meet high standards for service and compliance.
Key Responsibilities
Scheduling & Coordination Send weekly and daily rotas to clients promptly and professionallyUpdate and re-send schedules when changes occurHighlight any coverage gaps or urgent issues to the relevant coordinators
Recruitment Support Screen applications and arrange interviewsFollow up with candidates to collect documentation and support onboardingMaintain recruitment trackers and applicant files (both digital and physical)
Compliance Monitoring Chase staff to book supervisions and live monitoring sessionsTrack DBS expiry dates, training deadlines, and other compliance requirementsReport recurring issues to the office teamFollow up on missing documents or mandatory training
Training Administration Book internal and external training sessionsPrepare materials such as booklets, agendas, and sign-in sheetsUpdate training records to meet Caremark and CQC requirements
Communication & Enquiries Answer calls professionally and take accurate messagesMonitor shared inboxes for referrals and new care package enquiriesEscalate urgent matters quickly to the right team member
General Office Support File, scan, and maintain accurate digital recordsKeep the office calendar up to date with reviews, training, and supervisionsProvide administrative support to the care and coordination teams as needed
About You Previous admin experience in a busy office environment (care sector experience is an advantage)Excellent organisational skills and attention to detailConfident with Microsoft Office and comfortable managing digital recordsProfessional telephone manner and strong written communication skillsAbility to prioritise tasks and work under pressure
